About the position

The Quest Kids Administrative Assistant plays a crucial role in supporting the operations of Quest, Inc. by ensuring efficient office management and providing exceptional customer service to families and staff. This position involves handling administrative tasks, maintaining client files, coordinating with various departments, and facilitating community outreach events, all while upholding the organization's mission to enrich the lives of individuals with developmental disabilities.

Responsibilities

  • Answer and return calls daily, ensuring all calls are returned within 24 hours.
  • Create and report on parents' satisfaction surveys.
  • Communicate new parent procedures, billing, and scheduling requirements to parents, as needed.
  • Ensure client files are complete by obtaining required paperwork from families prior to the start of services.
  • Enter insurance claims into the billing system daily and coordinate billing needs with accounting monthly.
  • Setup and master all components for new database system, working with all departments to ensure system design meets needs.
  • Coordinate with Human Resources for all new and current staffing requirements, ensuring compliance with necessary updated HR classes.
  • Organize community outreach events, including ASGO and NOW walk events.
  • Maintain Quest Kids database with current family and staff information.
  • Ensure the office is running efficiently by managing office supplies and equipment.

Requirements

  • High school diploma or GED required.
  • Minimum of 2 years of experience working with people with developmental disabilities.
  • Minimum of 2 years of secretarial/receptionist experience required.
  • Working knowledge of Microsoft Word, Excel, Access, and other software required.
  • Minimum of college-level coursework in Behavior Analysis required.
  • Florida Driver's License with no more than two moving violations in the past three years required.

Nice-to-haves

  • Bachelor's degree preferred.
  • 1 year of experience as an Administrative Assistant preferred.
