About the position

The Real Estate Coordinator at Urban Land Conservancy (ULC) plays a crucial role in supporting the acquisition, disposition, development, and related processes to ensure that all real estate transactions align with ULC's strategic goals and mission. This full-time position, reporting to the Director of Real Estate, requires a commitment to ULC's mission, vision, and values, particularly in fostering diversity, equity, and inclusion, as well as environmental stewardship. The coordinator will be an integral part of the Real Estate team, necessitating strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously. In this role, the Real Estate Coordinator will assist all members of the Real Estate Team with the coordination of various projects, maintaining awareness of project timelines and budgets. The coordinator will be responsible for the procurement of proposals and bids, communication with vendors, and monitoring milestones for invoices and payments. Additionally, the coordinator will maintain organized project files, draft and summarize documents related to real estate transactions, and support the research and development of grant applications. The position also involves scheduling and coordinating meetings, preparing community meeting notes, and attending industry events. The successful candidate will demonstrate competency in project support, real estate development knowledge, advanced time and task management, and digital proficiency. The role requires a commitment to ULC's mission and values, particularly in promoting diversity, equity, and inclusion, and environmental sustainability.

Responsibilities

  • Assist all members of the Real Estate Team with the coordination of acquisition, disposition, and development projects.
  • Maintain awareness of and assist in managing project timelines and budgets, appropriately drawing attention to concerns, questions, and urgency when necessary.
  • Coordinate the procurement of proposals and bids, communicate with vendors, and monitor milestones for invoices, payments, reports, etc. while keeping detailed records.
  • Maintain organized project files (electronic and paper, when necessary).
  • Draft, edit, proofread, and summarize documents related to real estate and development transactions including supporting and performing research as assigned.
  • Support research and development of grant applications for real estate projects, and coordinate grant reporting.
  • Track and manage cost-sharing with partners by creating reimbursement invoices, processing payments, and coordinating with the accounting department to monitor and report project costs.
  • Coordinate, track, and code real estate team credit card purchases.
  • Schedule and coordinate meetings including creating agendas, taking notes, preparing minutes, and tracking action items.
  • Prepare community meeting notes, project reports, and coordinate meetings with vendors, partners, city representatives, and others as requested.
  • Attend community meetings, affordable housing events, and other industry events.

Requirements

  • Bachelor's degree in a relevant field or an Associate's degree with equivalent experience.
  • Minimum of two years of full-time relevant work experience in administrative roles, project management, or real estate coordination.
  • Intermediate knowledge of project management frameworks and real estate development processes.
  • Advanced organizational skills to track multiple projects simultaneously.
  • Strong analytical and problem-solving abilities.
  • Advanced ability to use essential software platforms such as Microsoft Office, Google Suite, and Adobe Suite.

Nice-to-haves

  • Intermediate knowledge of real estate project financing models, budgets, and proformas.
  • Skill in researching compliance requirements for grants and contracts.
  • Awareness of real estate due diligence processes, including title, survey, appraisal, and environmental inspections.
