About the position

As an Office Administrator at RE/MAX Dream Properties, you will play a crucial role in the daily operations of our real estate office. This position is designed for individuals who are organized, proactive, and possess strong interpersonal skills. You will be responsible for overseeing the efficiency and productivity of the office, ensuring that all administrative tasks are handled effectively. Your duties will include managing marketing and promotional activities, which involve maintaining our social media presence and online listings to attract potential clients. You will also greet clients and visitors, creating a welcoming atmosphere that reflects our commitment to exceptional service. In addition to managing daily operations, you will handle incoming communications, including calls and emails, directing them to the appropriate team members. Your role will also involve assisting in the recruitment and onboarding processes, which includes posting job listings, scheduling interviews, and managing employee onboarding documentation. You will coordinate meetings and events, prepare necessary documents, and maintain organized filing systems for both physical and digital records. Furthermore, you will assist real estate professionals with their administrative needs and facilitate real estate transactions by coordinating with various parties involved, such as buyers, sellers, lenders, and title companies. This position requires a high level of attention to detail and the ability to multitask effectively in a fast-paced environment. Your contributions will be vital in ensuring that our office runs smoothly and that our clients receive the highest level of service.

Responsibilities

  • Assist with marketing and promotional activities, including managing social media platforms and online listings.

  • Handle incoming calls, emails, and correspondence, and direct them to the appropriate individuals.
  • Assist in the recruitment and onboarding processes, including posting job listings, scheduling interviews, and employee onboarding administration.
  • Coordinate and plan meetings and events for the office.
  • Prepare and distribute documents, contracts, and reports as required.
  • Maintain filing systems and organize both physical and digital records.
  • Assist real estate professionals with day-to-day administrative tasks.
  • Facilitate real estate transactions by coordinating with buyers, sellers, lenders, title companies, and other parties involved.

Requirements

  • High school diploma or equivalent (some college coursework in real estate or related field is a plus).
  • Prior experience in an administrative or assistant role, preferably in the real estate industry.
  • Knowledge of real estate terminology, transactions, and documentation.
  • Proficiency in office software and tools, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with customer relationship management (CRM) software and MLS platforms.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Strong attention to detail and accuracy in handling documents and data.
  • Exceptional communication and interpersonal skills, both written and verbal.
  • Professional demeanor and the ability to maintain confidentiality.
  • Proactive and self-motivated, with a willingness to learn and adapt to changing requirements.
  • Valid driver's license (if required for property showings or errands).

Nice-to-haves

  • Experience with Microsoft Office for at least 1 year (Preferred).
