About the position

We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. In this role, you will be the first point of contact for our clients and visitors, providing exceptional customer support while managing various administrative tasks. The ideal candidate will possess strong clerical skills, proficiency in computer systems, and a friendly demeanor that reflects our commitment to excellent service.

Responsibilities

  • Greet and assist clients and visitors in a courteous manner.
  • Offer hospitality such as water or coffee to company guests.
  • Manage phone systems, ensuring calls are directed appropriately and messages are taken accurately.
  • Perform data entry tasks with attention to detail, maintaining accurate records.
  • Handle calendar management, scheduling appointments and coordinating meetings.
  • Run errands and arrange and organize company parties.
  • Provide clerical support including filing, photocopying, scanning, and preparing documents.
  • Assist with customer or visitor inquiries and provide information including employment applications.
  • Maintain a clean and organized reception area and conference room.

Requirements

  • Previous experience in an administrative or clerical role is preferred.
  • Familiarity with computer systems and office software is essential.
  • Strong phone etiquette and customer service skills are required.
  • Experience with calendar management and data entry is a plus.
  • Must know MS Office, especially Excel, Word, and Outlook.
  • Bilingual in English and Spanish is a must.
