About the position

We are seeking a dedicated and professional Receptionist/Administrative Assistant to join our team. This role is essential in ensuring smooth office operations and providing exceptional customer service. The ideal candidate will possess strong organizational skills, excellent phone etiquette, and a proactive approach to managing administrative tasks. This position requires a friendly demeanor and the ability to multitask effectively in a fast-paced environment.

Responsibilities

  • Greet visitors and clients warmly, providing them with necessary information and directing them to the appropriate personnel.
  • Manage incoming calls with professionalism, ensuring clear communication and effective phone etiquette.
  • Maintain organized filing systems for both physical and digital documents, ensuring easy access to important information.
  • Assist in calendar management, scheduling appointments, and coordinating meetings for team members.
  • Provide support as a medical receptionist by managing patient records and ensuring confidentiality in accordance with HIPAA regulations.
  • Deliver outstanding customer service by addressing inquiries promptly and efficiently while maintaining a positive attitude.
  • Oversee office management tasks including supply inventory, ordering office supplies, and maintaining a clean work environment.
  • Act as a personal assistant to executives or managers by handling various administrative tasks as needed.

Requirements

  • Proven experience in an administrative role or as a receptionist is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficiency in computer literacy, including Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
  • Excellent customer service skills with the ability to communicate clearly and effectively both verbally and in writing.
  • A proactive approach to problem-solving with strong attention to detail.

Nice-to-haves

  • Experience in medical reception or knowledge of medical terminology is a plus but not required.
  • Customer service experience of 1 year is preferred.
