About the position

The Receptionist - Clerk position at Madison County School District involves providing essential clerical support and customer service within the school environment. The role requires effective communication with the public and staff, managing incoming and outgoing communications, and performing various administrative tasks to ensure smooth operations in the school office.

Responsibilities

  • Operate a telephone system to relay incoming, outgoing and interoffice calls.
  • Greet all visitors courteously, determine their needs, check appointments and direct persons to proper person/location.
  • Answer questions of callers, according to policy, take messages for staff members and locate authorized personnel.
  • Coordinate outgoing and incoming mail, faxes and courier.
  • Perform clerical work such as correspondence, filing, reports, copying and ordering supplies.
  • Assist in the organization, packing and distribution of test materials.
  • Prepare lists and maintain files, records and reports.
  • Perform inventory functions as necessary.
  • Communicate effectively with the public, co-workers, school personnel and the public.
  • Respond to inquiries and concerns in a timely manner.
  • Keep supervisor informed of potential problems or unusual events.
  • Demonstrate initiative in the performance of assigned responsibilities.
  • Model and maintain high ethical standards.
  • Follow attendance, punctuality and proper dress rules.
  • Maintain confidentiality.
  • Demonstrate organizational skills by performing many tasks simultaneously.
  • Maintain positive relationships with co-workers, school personnel, parents and the public.
  • Participate in workshops and training sessions as required.
  • Complete assignments with little or no supervision.
  • Provide typing, filing, copying, inventory, record keeping and other general clerical duties for other personnel as directed by supervisor.
  • Prepare all required reports and maintain all appropriate records.
  • Follow all School Board policies and school policies and procedures.
  • Exhibit the interpersonal skills necessary as an effective team member.
  • Demonstrate support for the school and its goals and priorities.
  • Perform other incidental tasks consistent with the goals and objectives of this position.

Requirements

  • Ability to meet and interact with the public.
  • Knowledge of basic office equipment, including use of the computer and computer software.
  • Good oral and written communication skills.
  • Basic mathematical skills.
