About the position

We are seeking a highly organized and professional Front Desk Administrator to support our office operations. The ideal candidate will have a strong background in administrative functions and be adept at managing various tasks efficiently. This role requires excellent communication skills, attention to detail, and the ability to handle multiple responsibilities simultaneously.

Responsibilities

  • Perform and administer clerical functions to support daily office operations.
  • Manage office supplies and equipment, ensuring adequate inventory levels.
  • Handle all property management requests and issues in coordination with the building management office.
  • Update and maintain Daily Sales reports from plant operations.
  • Generate and distribute invoices on a daily basis.
  • Mail out invoices and other correspondence as required.
  • Manage the FedEx account, ensuring timely shipping and receipt of packages.
  • Arrange travel and accommodation for employees as needed.
  • Deposit checks daily and maintain accurate financial records.
  • Distribute employee credit cards as necessary.
  • Assist the HR Manager with filing and other administrative tasks.
  • Complete additional duties and responsibilities as assigned by management.

Requirements

  • Minimum of 3 years of relevant experience in an administrative or front desk role.
  • Proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Strong organizational skills with the ability to manage time effectively.
  • Self-starter with a professional demeanor and a commitment to excellence.
  • Excellent interpersonal skills and the ability to communicate effectively both verbally and in writing.
  • Ability to take initiative and work independently when required.
  • Motivated and capable of completing tasks within set deadlines.

Nice-to-haves

  • Experience in property management coordination.
  • Bilingual in Spanish.
