About the position

The Receptionist/Front Office Scheduler at Paik Vascular & Vein Center is a vital role responsible for managing patient interactions and scheduling procedures. This position serves as the first point of contact for patients, ensuring a welcoming environment and smooth operational flow. The ideal candidate will utilize clinical knowledge to schedule appropriate procedures and surgeries as per provider's orders, while also providing excellent customer service to patients and staff.

Responsibilities

  • Schedule office-based procedures for patients with appropriate provider and time/location slot, utilizing appropriate scheduling code.
  • Enter notes/special instructions needed for scheduling in the electronic medical record.
  • Effectively utilize clinical knowledge when determining if appointment is consistent with the diagnosis/indications indicated by the provider.
  • Provide accurate, detailed information to patients regarding test preparations, time of patients scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients.
  • Confirm patient's insurance provider and either obtain prior authorization or communicate need for prior authorization to appropriate parties as needed.
  • Assist with ensuring patients have proper medical clearance and pre-surgical testing as needed.
  • Complete pre-procedure phone calls and confirm appointment times with patients via telephone.
  • Ensure registration packet is completed by each patient prior to pre-op, including the Advance Directive, Privacy, Ownership Disclosure and Rights.
  • Assist other members of the department as needed.
  • Other duties as assigned.

Requirements

  • High school diploma or equivalent; additional certification in medical administration is a plus.
  • Previous experience as a medical receptionist or in a healthcare setting preferred but not required.
  • Familiarity with medical terminology and EHR system is preferred but not required.
  • Strong communication and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Ability to handle multiple tasks and work in a fast-paced environment.

Nice-to-haves

  • Bilingual in Spanish, Korean and English is a plus.
