About the position

The Receptionist at the Green Cove Springs location is responsible for performing various clerical tasks to support daily operations within the office. This role includes greeting visitors, answering phone calls, assisting with data entry, and ensuring the security of designated areas. The Receptionist plays a crucial role in providing exceptional customer service and maintaining an organized work environment.

Responsibilities

  • Greet visitors and ascertain the nature of their visit, directing them appropriately.
  • Verify the identity of individuals requiring access to secure areas and allow access as per agency policies.
  • Provide accurate information to the public regarding law enforcement and community services programs.
  • Ensure that secured areas remain inaccessible to unauthorized personnel.
  • Research, organize, summarize, and assemble requested information from various files and sources.
  • Complete daily, weekly, monthly, and/or annual reports/logs as required.
  • Receive, route, and disperse telephone calls and messages appropriately.
  • Receive legal papers and mail/courier packages and deliver them to the appropriate personnel.
  • Respond to customer service inquiries in a timely manner and provide necessary forms.
  • Ensure children in the lobby area are accompanied by an adult.
  • Participate in cross-training with co-workers and assist them as needed.
  • Maintain a clean, organized, and safe work area in accordance with agency policies.
  • Enter warning citations into the computer system as required.
  • Keep a log of vehicle usage and ensure vehicles are returned clean and with sufficient fuel.
  • Provide accurate information and assistance to the public and department members in a professional manner.
  • Process incoming and outgoing documents in a timely manner as directed.
  • Report maintenance, safety, and compliance issues to the appropriate personnel.
  • Complete assignments and special projects as directed, adhering to agency policies.
  • Adhere to attendance policies and report any absences or overtime worked.
  • Regularly check and respond to assigned communications promptly and professionally.
  • Maintain a courteous and professional demeanor when interacting with the public and colleagues.
  • Cultivate positive working relationships with colleagues and other agency units.
  • Operate and perform minor repairs on office equipment as needed.
  • Perform other duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Experience in a clerical or receptionist role preferred.
  • Strong communication and interpersonal skills.
  • Ability to handle sensitive information with confidentiality.
  • Proficient in basic computer skills and data entry.

Nice-to-haves

  • Experience in a law enforcement or government agency setting.
  • Knowledge of community services programs and procedures.
  • Bilingual skills are a plus.
