About the position

The Receptionist in a Legal Firm is responsible for providing effective client service and general office support. This full-time position involves managing incoming calls, greeting clients, and performing various clerical tasks to ensure smooth office operations. The role requires a professional demeanor and strong organizational skills to handle multiple responsibilities efficiently.

Responsibilities

  • Professionally answer and direct all incoming calls.
  • Respond in a timely manner to all phone calls, e-mails, and written correspondence.
  • Assist and greet internal/external clients in a professional and hospitable manner.
  • Provide general information and validate parking for clients.
  • Remain aware of the location of office personnel for transferring calls or relaying messages.
  • Responsible for the general upkeep of the reception area.
  • Assist with scheduling of visiting attorney offices and conference rooms.
  • Type memos, correspondence, and other documents.
  • Assist with photocopying, faxing, filing, and collating.
  • Maintain a general log of personnel in the office.
  • Open and close the reception area as needed.
  • Perform other related duties as needed or assigned.

Requirements

  • 2-5 years of customer service or related experience.
  • Experience working in an office environment.
  • Intermediate knowledge of Microsoft Office Suite (Word, Excel, Outlook).
  • Experience managing a multi-line telephone system.
  • Typing speed of 50+ WPM.
  • Excellent verbal and written communication skills.
  • Strong organizational skills.
  • Ability to multi-task and work independently.
