About the position

We are currently seeking a Receptionist Legal Administrative Assistant for our Denver office. This hybrid role is designed for a people-oriented individual who possesses a keen eye for detail and thrives in a professional environment. As a Receptionist Legal Administrative Assistant, you will be the first point of contact for our clients and visitors, ensuring a welcoming atmosphere while managing various administrative tasks. In this role, you will greet arriving visitors, assign visitor badges, and answer inbound telephone calls. You will also be responsible for taking telephone messages, transferring calls, and utilizing the paging system as needed. Scheduling and reserving conference rooms, working with couriers for deliveries, and providing telephone coverage during early office closures or special events are also key responsibilities. Attention to detail is crucial, as you will maintain and update files, conduct conflict checks in Intapp, and assist with calendaring, meeting coordination, timesheet entries, and travel plans. Additionally, you will provide support to other Legal Administrative Assistants and administrative departments as time permits and attend staff and administrative meetings as requested. Proficiency in Microsoft Word, Excel, Outlook, Intapp, Document Management systems, and LegalKey is essential for success in this position. This is an in-office position, and we are looking for someone who is dedicated, detail-oriented, and a team player.

Responsibilities

  • Greet arriving visitors and assign visitor badges, if applicable
  • Answer inbound telephone calls and take telephone messages
  • Transfer calls and utilize paging system, if applicable
  • Schedule and reserve conference rooms
  • Work with couriers to receive and forward deliveries
  • Provide telephone coverage when the office closes early and for special events
  • Maintain and update files, including file openings and conflict checks in Intapp
  • Pay attention to minute details of projects or tasks (i.e. calendaring, meeting coordination, timesheet entries, travel plans, file openings)
  • Provide assistance to other Legal Administrative Assistants and administrative departments upon request, as time permits
  • Attend staff and other administrative related meetings as requested
  • Proficient in Microsoft Word, Excel, Outlook, Intapp, Document Management system and other applicable firm systems, LegalKey
  • Other duties as assigned

Requirements

  • Proficiency in Microsoft Word, Excel, and Outlook
  • Experience with Intapp and Document Management systems
  • Attention to detail and ability to manage multiple tasks
  • Strong communication skills
  • Ability to work in a professional environment
  • College degree preferred

Nice-to-haves

  • Experience in a legal environment
