About the position

The Receptionist at A Renewed You Medical Spa is responsible for managing front desk operations in a busy medical environment. This role involves greeting patients, handling phone calls, scheduling appointments, and ensuring a welcoming atmosphere. The position is available in both part-time and full-time capacities, requiring flexibility to work weekends and various shifts.

Responsibilities

• Greet patients with a friendly smile and positive attitude
• Answer, forward, and screen phone calls
• Respond to all missed calls, voicemails, and emails
• Ensure the reception area is organized, neat, and stocked with products
• Answer phone calls professionally and explain spa services to patients
• Schedule, monitor appointments, and resolve appointment conflicts
• Prepare the office for proper opening and closing
• Notify staff of patient cancellations or unscheduled visitors
• Alert staff when a scheduled patient arrives
• Manage the schedule and flow of the office
• Track and handle all payment of services
• Manage patient check-in and input their confirmed arrival into the system
• Obtain prior authorization from insurance for select services
• Assist with inventory management and supply ordering
• Ensure rooms are set up and broken down before and after each client

Requirements

• Customer service experience
• Medical or dental receptionist experience
• Ability to operate basic office equipment (fax machine, copy machine, scanner)
• Knowledge of computers and software programs (scheduling, email, word processing)
• Exceptional written and verbal communication skills
• Ability to work well under pressure
• Organized, detail-oriented, and effective multi-tasker
• Self-starter who can work independently and as part of a team

Nice-to-haves

• Aesthetic experience
• Knowledge of injectables (Botox and Fillers)
• Experience with lasers and other cosmetic treatments
