About the position

The position is responsible for managing patient interactions at the front desk of a healthcare facility, including answering phones, scheduling appointments, and maintaining patient records. The role emphasizes compassionate care and adherence to the core values of the organization, ensuring a welcoming environment for patients of all ages.

Responsibilities

  • Answer all phone calls within 3 rings and take messages for appropriate personnel.
  • Greet patients and gather new patient information to prepare medical records.
  • Maintain neatness in the reception area and ensure accuracy of patient address and insurance information.
  • Update patient files and prepare encounter forms, educating patients on required forms.
  • Update appointment sheets with add-ons and cancellations as necessary.
  • Record no-shows in patient charts and send follow-up letters if necessary.
  • Assist Clinical Assistant with scheduling referrals and outpatient procedures.
  • Monitor and distribute faxed items in a timely manner.
  • Assist Practice Manager and Director of Medical Practice Management with additional responsibilities as needed.

Requirements

  • High school graduate with at least two years of college or business school preferred.
  • Knowledge of coding, insurance billing procedures, and medical terminology strongly desired.
  • Minimum of 1 year in a healthcare-related role preferred.
  • Three months of training required.

  • Good interpersonal skills and ability to communicate well in writing and verbally.
  • Skills in performing multiple tasks simultaneously and organizing time effectively.
  • Efficient data entry skills and proficiency in keyboarding and Windows operating system.
