About the position

The Receptionist at Beam Suntory will serve as the first point of contact for visitors and employees at the company's global headquarters in New York City. This role involves providing exceptional customer service, managing visitor access, and supporting the Facilities Manager with various administrative tasks. The ideal candidate will be an energetic self-starter who can build relationships and work cross-functionally to enhance the office environment.

Responsibilities

  • Serve as the face of the company, offering excellent customer service to visitors by greeting, welcoming, and directing them appropriately.
  • Maintain security and visitor management dashboard by following procedures, monitoring log activity, and issuing visitor passes.
  • Answer calls and transfer them to the appropriate person.
  • Keep a safe and clean reception area by complying with procedures, rules, and regulations.
  • Provide premium customer service to all executives and employees by assisting or redirecting them appropriately.
  • Perform administrative support tasks including recordkeeping, expense reports, invoice processing, and assisting in event coordination.
  • Act as a liaison between property management and Suntory Global Spirits.
  • Complete any other reasonable tasks requested by the Facilities Manager to support the daily operations of the office.

Requirements

  • Strong oral communication skills, including active listening.
  • Exceptional client service experience.
  • Reception experience.
  • Post-secondary education; a university/college degree is an asset.
  • Proven ability to meet multiple and/or unexpected deadlines in a demanding environment.
  • Ability to develop and maintain relationships to efficiently leverage expertise.
  • Sound judgment regarding confidential and sensitive matters.
  • Aptitude to differentiate when to act independently or team with others.
  • Previous experience with Microsoft Office, SAP, and Ariba software preferred.
