About the position

Moss Landscaping, Inc. is an award-winning, full-service landscape firm serving the Greater Houston area, including the neighborhoods of River Oaks, Memorial, West University, Tanglewood, and Houston Heights. The Receptionist + Office Administrator serves as the first point of contact for potential clients reaching out to Moss Landscaping. This role is crucial in providing outstanding customer service and assistance to our clients, visitors, and team members. The ideal candidate will be responsible for managing the main phone line, ensuring that all calls are answered promptly and professionally. They will also manage the voicemail box, returning any messages within 24 business hours, and monitor online lead sources to gather essential information from potential clients, which will be input into the CRM system. Following up on all leads and opportunities sent to sales representatives is also a key responsibility. In addition to phone and online communication, the Receptionist + Office Administrator will greet and assist all visitors entering the property. This includes welcoming clients or leads and escorting them to the appropriate meeting room, fielding inquiries about open job opportunities, signing for packages, and directing facilities maintenance repairmen as needed. The role also involves taking inventory of office supplies and restocking as necessary, such as paper, pens, and ink/toner. The Receptionist + Office Administrator will perform other duties as assigned and assist various departments with special projects when needed, making this a dynamic and engaging position within the company.

Responsibilities

  • Answer the main phone line during business hours.
  • Manage the voicemail box of the main phone line and return any voicemails within 24 business hours.
  • Monitor online lead sources and gather essential information from potential clients.
  • Input client information into the CRM system.
  • Follow up on all leads/opportunities sent to sales reps.
  • Greet and assist all persons entering the property.
  • Welcome clients or leads and escort them to the appropriate meeting room.
  • Field inquiries about open job opportunities.
  • Sign for packages as necessary.
  • Answer gate call boxes and direct facilities maintenance repairmen as needed.
  • Take inventory of supplies and restock as needed, including paper, pens, ink/toner, etc.
  • Perform other duties as assigned and assist departments with special projects when needed.

Requirements

  • Must be client-focused and able to handle a high volume of client calls.
  • Team-oriented and able to offer support on special projects where needed.
  • Ability to build and maintain cooperative working relationships with other departments and clients.
  • Proficient in communicating effectively and professionally, both in-person, over the phone, and in writing.
  • Ability to solve practical problems and deal with a variety of situations exercising flexibility and sound judgment in a fast-paced environment.
  • Able to communicate in Spanish is preferred.
  • Valid Texas driver's license or ID.
