About the position

The Receptionist/Office Administrator position at Anoka County Community Action Program, Inc. is a full-time role that requires a dedicated individual to perform a variety of administrative and clerical tasks. The successful candidate will be responsible for providing complex secretarial support to the Program Directors, utilizing Microsoft Office Suite and various data entry programs. This role serves as a vital source of information for Program Directors, staff, and clients, ensuring smooth communication and efficient office operations. The position involves front desk receptionist duties, where the individual will greet visitors, answer phone calls, and manage inquiries effectively. In addition to standard administrative tasks such as preparing correspondence, editing documents, and copying materials, the Office Administrator will assist in coordinating special events and handle day-to-day office issues. The role requires strong organizational skills to manage multiple activities and projects while prioritizing a heavy workload under tight deadlines. The candidate must be able to work independently and collaboratively with team members, demonstrating flexibility and dependability in attendance. The position also involves data entry for client tracking software, performing data clean-ups, and generating reports. The Office Administrator will be responsible for updating the organization's website and managing ongoing social media postings. Essential job functions include normal office procedures, the ability to lift and carry up to 30 pounds, and maintaining effective communication with clients and employees throughout the building. The role demands a strong ability to follow instructions, handle confidential matters, and possess excellent verbal and written communication skills.

Responsibilities

  • Perform complex secretarial and clerical work for the Program Directors using Microsoft Office Suite/data entry programs.
  • Serve as a source of information for Program Directors, staff, and clients.
  • Provide front desk receptionist duties.
  • Perform general department duties such as preparation of correspondences, editing, and copying.
  • Assist in coordination of special events.
  • Field administration and receptionist basic job responsibilities, and handle day-to-day issues.
  • Work with the Director of Operations to organize and support department and office needs.
  • Data entry for client tracking software, data clean ups, and reports.
  • Update the website and manage ongoing social media postings.
  • Perform other related duties as assigned.

Requirements

  • One (1) year certificate from college or technical school; six (6) months to one (1) year related experience and/or training; or equivalent combination of education and experience.
  • Knowledge of Human Service programs, Microsoft Office Suite 2010, and other computer programs.
  • Ability to communicate orally and in writing to diverse groups of people.
  • Strong ability in coordinating tasks and projects, prioritizing workload, and working under deadlines.
  • Able to work independently and with team members, with minimal instructions and supervision.
  • Ability to follow instructions and work with confidential matters.
  • Dependable attendance and must be flexible.
  • Strong organizational and verbal/written communication skills, computer skills, general office, math and record keeping skills.

Nice-to-haves

  • Bilingual skills are preferred.
