About the position

The Receptionist / Office Assistant will serve as the first point of contact for guests at a prominent private equity firm in Menlo Park. This role is crucial for managing office flow, providing information to employees and guests, and ensuring high levels of client service. The position involves collaboration with various teams and building management to maintain office operations and guest relations.

Responsibilities

  • Manage the flow of guests in and out of the office and conference space.
  • Act as an information resource for employees and their guests.
  • Work closely with Investor Relations, Investment, and Solutions teams to maintain client service standards.
  • Coordinate communication with building management and facilities teams.
  • Liaise with domestic and international offices while managing a multi-line phone system.
  • Direct external and internal communications.
  • Coordinate and order lunch and catering services for meetings.
  • Assist in ordering, receiving, stocking, and distributing kitchen and office supplies.
  • Prep conference rooms for meetings and ensure tidiness of common areas.
  • Run errands and assist with ad hoc projects as needed.
  • Conduct specialized research projects and complete basic clerical tasks.

Requirements

  • Bachelor's degree from an accredited college.
  • 2+ years of experience as a receptionist or administrative assistant in a corporate office setting.
  • Proficient in Microsoft Office (Excel, PowerPoint, Outlook).
  • Highly organized and a good communicator.
  • Ability to work independently with little direction.
  • Proactive, polished, and professional demeanor.

  • Experience in a fast-paced environment.
  • Ability to multitask effectively.

Benefits

  • Hourly salary of $30-$35 based on experience.
