About the position

The Receptionist/Office Assistant plays a crucial role in creating a welcoming atmosphere for members and visitors at the church. This position involves managing communication, maintaining schedules, and providing clerical support to ensure smooth operations within the office.

Responsibilities

  • Greet and assist members and visitors entering the building.
  • Receive incoming calls, answer questions, and provide information; take messages and route them to appropriate staff.
  • Maintain and update the online church calendar, processing meeting requests and noting equipment needs.
  • Record weekly worship service attendance and update the annual Accumulative Record.
  • Compose and send visitor contact information to relevant staff weekly and print/mail visitor letters.
  • Maintain and update the Membership database on REALM, including statistics on births, deaths, baptisms, and confirmations.
  • Facilitate all incoming and outgoing mail, oversee the postage machine, and assist with mass mailings.
  • Manage the telephone system and update messages for special events or schedule changes.
  • Compose and post church-wide notices using the Constant Contact database.
  • Recruit and train volunteers for front desk coverage as needed.
  • Facilitate reservations and sign-ups for various events and activities.
  • Provide clerical and copy center assistance to staff, committees, and volunteers.
  • Keep the office supply room stocked and order supplies as needed.
  • Maintain and stock copier supplies and call for service when necessary.
  • Attend weekly staff meetings, take minutes when required, and distribute them to staff.
  • Process Building Use Requests for outside groups and follow up on documentation and approvals.
  • Dispatch and maintain logs for loaner keys or access devices.

Requirements

  • Experience in Microsoft Word and other office software.
  • Strong communication skills, both verbal and written.
  • Ability to manage multiple tasks and prioritize effectively.
  • Attention to detail and organizational skills.

Nice-to-haves

  • Experience with database management, particularly REALM.
  • Familiarity with Constant Contact or similar communication tools.
  • Previous experience in a church or non-profit environment.
