About the position

The Receptionist/Office Services Clerk plays a vital role in ensuring the smooth daily operations of the law firm, providing a positive first impression to clients and visitors, and supporting office staff and attorneys. This position requires excellent communication skills, attention to detail, and the ability to manage multiple tasks efficiently in a professional environment.

Responsibilities

  • Greet and welcome clients and visitors with a warm and professional demeanor.
  • Answer and direct phone calls to the appropriate staff members.
  • Manage the reception area, ensuring it is tidy and presentable.
  • Schedule and confirm appointments for clients and attorneys.
  • Handle incoming and outgoing mail and deliveries.
  • Assist with administrative tasks such as filing, data entry, and document preparation.
  • Maintain confidentiality and security of client information.
  • Maintain office supplies and coordinate with vendors for office services.
  • Support the legal team with various clerical tasks as needed.

Requirements

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Proven experience as a receptionist or in a similar role, preferably in a law firm or professional services environment.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • MS Teams and Zoom experience a plus.
  • ProLaw experience is a plus.
  • Strong organizational and multitasking abilities.
  • Professional appearance and attitude.
  • Ability to handle sensitive information with discretion.

Nice-to-haves

  • Experience in a law office (1 year preferred).
  • Ability to relocate before starting work (preferred).
