About the position

The Medical Receptionist / Scheduler is essential for the efficient operation of a healthcare facility, responsible for managing patient interactions, scheduling appointments, and maintaining accurate medical records. This role combines customer service with administrative tasks to ensure a smooth patient experience and effective communication with medical staff.

Responsibilities

  • Greet and check-in patients upon arrival, ensuring they fill out required forms and update insurance information.
  • Answer phone calls, schedule appointments, and provide basic information regarding services.
  • Handle patient records and manage electronic health records (EHR) or medical software.
  • Assist patients with billing questions, collect copayments, and manage basic insurance queries.
  • Provide excellent customer service to ensure patient satisfaction and resolve complaints as necessary.
  • Maintain cleanliness and organization of the reception area and manage inventory of office supplies.
  • Schedule and confirm patient appointments, coordinating referrals to specialists and diagnostic tests.
  • Work closely with doctors, nurses, and technicians to ensure accurate and timely patient schedules.
  • Notify patients of appointment reminders, cancellations, or rescheduling via phone, text, or email.
  • Update and verify patient contact details, medical history, and insurance information in EHR.
  • Confirm insurance eligibility before scheduling services and verify coverage and authorization needed for treatments.

Requirements

  • Strong organizational skills and attention to detail.
  • Ability to interact effectively with patients and healthcare professionals.
  • Experience with electronic health records (EHR) or medical software is preferred.
