Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen, and forward incoming phone calls
  • Provide basic and accurate information in-person and via phone/email
  • Perform clerical duties such as filing, photocopying, scanning, and organizing documents
  • Assist with data entry tasks and maintain databases
  • Manage calendars, schedule appointments, and coordinate meetings
  • Support staff with tasks such as receipt gathering and expense reports
  • Upload contacts and manage contact lists in Outlook or similar software
  • Order office supplies and maintain inventory
  • Ensure reception area is tidy and presentable, with all necessary stationery and material

Requirements

  • Proven experience as a Front Desk Administrative Assistant, Receptionist, or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Excellent organizational and multitasking abilities
  • Strong communication and interpersonal skills
  • Attention to detail and problem-solving skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
