About the position

The Receptionist at Fort Bend Independent School District serves as the first point of contact for visitors and callers at the assigned school or department. This role is crucial in creating a friendly and helpful atmosphere, ensuring that all visitors feel welcomed and that their needs are addressed promptly. The receptionist is responsible for managing a high volume of telephone calls and visitors, utilizing advanced telephonic systems such as PBX. This position requires maintaining an attractive and comfortable reception area, answering inquiries according to district policies, and taking messages for staff members. In addition to handling calls, the receptionist maintains alphabetical files of staff members, including their names, room locations, and telephone extensions, to facilitate efficient communication. They are also tasked with keeping records of toll charges and incoming collect calls for the business office, reporting any telephone issues to the service provider as they arise. Greeting visitors courteously, determining their needs, and directing them to the appropriate personnel is a key responsibility. The receptionist must also report any suspicious activity or unauthorized visitors immediately. Other duties may include supervising student office assistants, ordering and distributing supplies, reviewing and channeling mail, and assisting with general clerical tasks as needed. This position does not have supervisory responsibilities but requires a congenial personality and excellent interpersonal skills to interact effectively with the public, school staff, and fellow employees. The work environment is dynamic, requiring the ability to handle interruptions and stressful situations with professionalism and composure.

Responsibilities

  • Order, receive, examine, and distribute supplies; review and channel mail to correct destinations.
  • Assist with processing records and perform other routine clerical tasks as assigned.

Requirements

  • High School diploma or GED, supplemented by commercial/business coursework.
  • Some successful general clerical experience.
  • Good knowledge of business office procedures and practices.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to type at an approved rate of speed and operate personal computers.
  • Ability to understand and follow written and oral instructions.
  • Ability to establish and maintain successful working relationships with the public and school staff.
  • Excellent human relations and interpersonal skills.

Nice-to-haves
