About the position

The City of Mountain Brook is seeking a professional Records Analyst to oversee the operations of a warehouse facility dedicated to the management of city and county records. This role involves maintaining a records retention schedule, ensuring the security and preservation of records, and collaborating with various departments to provide information regarding record retention and disposal. The Records Analyst will also review and recommend improvements to the current records management system in compliance with governmental requirements.

Responsibilities

  • Plan, direct, and organize operations of the records warehouse facility.
  • Maintain a records retention schedule and determine timetables for storing, archiving, and destroying records.
  • Ensure records are secured and preserved according to policies and procedures.
  • Communicate with other departments to provide information regarding record retention and disposal.
  • Review current records management systems and recommend changes for improvement.
  • Examine and evaluate records management operations to develop efficient methods for handling records.

Requirements

  • Driver's license.
  • Experience using computer software for organizing and tracking records (e.g., Microsoft Access, Publisher, Excel, Outlook).
  • Experience with a Records Retention System adhering to policies and legal guidelines.
  • Experience conducting research to gather information from various sources.
  • Experience explaining policies and procedures for training personnel and responding to inquiries.

Nice-to-haves

  • Knowledge of rules and regulations for the State of Alabama Department of Archives and History.
  • Possession of an Associate's degree or higher in Library Science, Business Administration, Public Administration, Records Management, Legal Studies, or a related field.
  • Experience with modern scanning and electronic imaging methods.
