About the position

The Records & Data Management Technician is responsible for preparing and managing documents according to established guidelines, ensuring data accuracy, and maintaining records in a records management system. This role involves data entry, document scanning, and routine equipment maintenance, contributing to the efficient operation of the agency's data management processes.

Responsibilities

  • Prepare and batch documents according to established guidelines.
  • Set scanner stations, assign batch numbers, and feed documents into scanning hardware.
  • Evaluate the interface between the division mainframe and imaging system to determine data accuracy and modify data as needed.
  • Enter large amounts of data into a records management system in various formats.
  • Inspect records for accuracy and completeness.
  • Prepare records for entry into the system, including removing staples, paper clips, and repairing tears.
  • Perform routine equipment maintenance and troubleshoot minor equipment problems.
  • Scan documents and archive them into the agency database.
  • Ensure data is collected, compiled, and verified to produce quality end-products for future use.
  • Gather, manage, examine, establish, analyze, record, and maintain information in records or data management systems.
  • Verify the legitimacy of requests for information, ensuring confidentiality is maintained.

Requirements

  • High School Diploma or GED required.
  • 0-2 years of progressive work experience in Records and Data Management or equivalent education and experience.
  • Knowledge of basic data entry and computer usage, including MS Word, spreadsheets, and database applications.
  • Knowledge of proper procedures for producing long-term preservation microfilm.
  • Knowledge of agency policies and procedures.

Nice-to-haves

  • Experience in scanning and indexing documents.
  • Data entry experience.
  • Customer service experience.
  • Processing of medical documents preferred.
  • Typing speed of 30 wpm preferred.
