About the position

The Recruiting Coordinator position at Aston Carter is a pivotal role within the Global Specialty Recruiting team, designed to enhance the candidate experience for senior-level candidates. This position is a 6-month contract with the potential for extension or conversion, offering a hybrid work model where the employee will work three days onsite and two days from home in Nashville, TN. The role is compensated at $21 per hour. As a Recruiting Coordinator, you will have high visibility with top-level executives from around the globe, managing the entire candidate lifecycle. This includes scheduling interviews, ensuring a positive candidate experience, managing data, and coordinating travel arrangements. The role is crucial in influencing both candidate and client experiences by ensuring that candidates have a seamless interview process and that their needs are met throughout their journey. Your responsibilities will include scheduling on-site interviews, coordinating with executive assistants supporting senior leadership, and maintaining excellent communication with candidates. You will be responsible for entering and tracking candidate information in the database, managing complex calendars, and ensuring that all tasks and action items are completed in a timely manner. This role requires a proactive approach to anticipate potential bottlenecks and manage escalations effectively, ensuring that all deliverables are met promptly.

Responsibilities

  • Schedule on-site interviews and coordinate with executive assistants supporting senior leadership.
  • Ensure an excellent candidate experience through prompt follow-up and high-quality communication with executive candidates throughout their lifecycle.
  • Act as the main point of contact for on-site candidates, ensuring a positive interview experience and smooth interview schedule.
  • Enter and track candidate information in the database, ensuring appropriate access for necessary parties.
  • Manage complex calendar scheduling for internal and external meetings.
  • Handle multiple tasks and action items, ensuring timely action on deliverables.

Requirements

  • 2-3 years of recruiting, coordinating, or administrative experience.
  • Experience supporting senior management in large corporate environments or senior professionals in a professional services firm.
  • Strong working knowledge of Microsoft Office and Outlook tools.
  • Strong verbal and written communication skills.
