About the position

The Regional Executive Assistant (REA) plays a crucial role in providing comprehensive administrative support to the Managing Director (MD) and the Assistant Vice President (AVP) of Regional Client Management, as well as assisting with regional office management. This position requires a deep understanding of the local office dynamics, as well as familiarity with the people, systems, and issues across other offices within the region. The REA is expected to be a key point of contact for both internal and external stakeholders, ensuring smooth operations and effective communication within the team and with clients. In this role, the REA will manage various administrative tasks, including expense management, where they will analyze monthly spending and forecast future expenses. They will also be responsible for coordinating schedules, meetings, and teleconferences, ensuring that all logistical aspects of regional meetings and events are handled efficiently. This includes organizing meeting materials, managing travel arrangements, and creating presentations and reports that support the regional management team. The REA will serve as a subject matter expert (SME) for budgetary questions and system access, ensuring data integrity and providing training to other administrative staff as needed. They will also support the MD and RCM with annual performance reviews and bonus programs, and assist with special projects that may involve data analysis and reporting. Overall, the REA is expected to demonstrate excellent organizational skills, discretion in handling sensitive information, and the ability to work independently while being a proactive member of the team.

Responsibilities

  • Supports expense management needs, analyzing monthly spending and forecasting.
  • Attends weekly regional calls, gathering and analyzing data to create reports and presentations.
  • Coordinates schedules, meetings, and teleconferences, including room setup for regional meetings.
  • Plans and organizes all regional events and communicates details to key presenters.
  • Makes travel arrangements and manages all travel expenses for the MD and AVP.
  • Fields incoming calls from brokers and clients, providing excellent customer service.
  • Creates presentations, memos, letters, manuals, and other correspondence for external constituencies.
  • Gathers and compiles various sales and client management regional operating reports.
  • Acts as the SME for system access and ensures data integrity for users within applications.
  • Mentors and supports other administrative staff, providing training as needed.
  • Creates and manages the Region SharePoint site.
  • Supports MD and RCM with annual performance review and bonus programs.
  • Completes various data entry duties to support sales and marketing activities.
  • Supports special projects or other tasks as assigned.

Requirements

  • High School diploma required; Associates or Bachelor's degree preferred.
  • A minimum of three to five years of experience in an administrative role, preferably supporting management.
  • Excellent communication skills, both written and oral, and superior organizational skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to work with varying levels of management and set priorities effectively.
  • Excellent customer service skills and a focus on client satisfaction.
  • Highly motivated and proactive, with the ability to work independently.
  • Good judgment and problem-solving skills.
  • Strong technology aptitude and proficiency in Microsoft Office programs: Outlook, Word, PowerPoint, and Excel.

Nice-to-haves

  • Experience in a corporate environment supporting executive-level management.
  • Familiarity with Salesforce.com or similar CRM systems.
