About the position

The Regional Executive Assistant (REA) plays a crucial role in providing comprehensive administrative support to the Managing Director (MD) and the Assistant Vice President (AVP) of Regional Client Management, as well as offering regional office management support. This position requires a deep understanding of the local office dynamics, as well as familiarity with the people, systems, and issues pertinent to other offices within the manager's region. The REA is expected to be a key point of contact for both internal and external stakeholders, ensuring smooth operations and effective communication across various levels of the organization. In this role, the REA will manage expense-related tasks, including analyzing monthly spending and forecasting, while serving as the subject matter expert (SME) for budgetary inquiries. The REA will also coordinate schedules, meetings, and teleconferences, ensuring that all logistical aspects of regional meetings and events are meticulously planned and executed. This includes organizing meeting materials, managing travel arrangements, and creating presentations and correspondence on behalf of the management team. The REA will gather and compile various sales and client management reports, utilizing data from multiple systems to support decision-making processes. Additionally, the REA will mentor and support other administrative staff, providing training on various systems and tools as needed. This position is integral to the success of the regional team, requiring a proactive approach to problem-solving and a strong commitment to maintaining data integrity and confidentiality.

Responsibilities

  • Supports expense management needs, analyzing monthly spending and forecasting.
  • Attends weekly regional calls, gathering and analyzing data to create spreadsheets, reports, and presentations.
  • Coordinates schedules, meetings, and teleconferences, including room set-up for regional meetings.
  • Plans and organizes all regional events and communicates details to key presenters.
  • Makes travel arrangements and manages all travel expenses for the MD and AVP.
  • Fields incoming calls from brokers and/or clients, providing excellent customer service.
  • Creates presentations, memos, letters, manuals, agendas, and other correspondence for external constituencies.
  • Gathers, compiles, and develops various sales and client management regional operating reports.
  • Acts as the SME for system access for users and ensures data integrity within applications.
  • Mentors and supports other administrative staff, providing training as needed.
  • Creates and manages the Region SharePoint site.
  • Supports MD and RCM with annual performance review and bonus programs.
  • Completes various data entry duties to support overall sales and marketing activities.
  • Supports special projects or other tasks as assigned.

Requirements

  • High School diploma required; Associates or Bachelor's degree preferred.
  • A minimum of three to five years of experience in an administrative role, preferably supporting management.
  • Excellent communication skills, both written and oral, and superior organizational skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to work with varying levels of management and set priorities effectively.
  • Excellent customer service skills and a focus on client satisfaction.
  • Highly motivated and proactive, with the ability to work independently.
  • Good judgment and problem-solving skills.
  • Strong technology aptitude and proficiency in Microsoft Office programs: Outlook, Word, PowerPoint, and Excel.

Nice-to-haves
