About the position

The Regional Executive Assistant (REA) at Unum plays a crucial role in providing comprehensive administrative support to the Managing Director (MD) and the Assistant Vice President (AVP) of Regional Client Management. This position is not only about managing day-to-day administrative tasks but also involves a deep understanding of the local office dynamics, as well as the broader regional and corporate structures. The REA is expected to be a subject matter expert (SME) in expense management, assisting in the analysis of monthly spending and forecasting for non-salary related accounts. This includes providing research and resolution for expense-related inquiries and supporting regional management in achieving budgetary goals. In addition to financial oversight, the REA is responsible for coordinating schedules, meetings, and teleconferences, ensuring that all logistical aspects of regional meetings and events are meticulously planned and executed. This includes organizing meeting materials, managing travel arrangements, and creating presentations and reports that are essential for effective communication within the team and with external stakeholders. The REA will also serve as the primary administrative contact for brokers and clients, fielding incoming calls and ensuring that all correspondence is handled professionally and efficiently. The role requires a proactive approach to problem-solving and a strong ability to work independently while also mentoring and supporting other administrative staff. The REA will manage the region's SharePoint site and assist with various data entry tasks to support sales and marketing activities. This position is integral to the success of the regional team, contributing to special projects and other tasks as assigned, and ensuring that all administrative functions run smoothly and effectively.

Responsibilities

  • Supports expense management needs, analyzing monthly spending and forecasting for non-salary related accounts.
  • Provides expense research and resolution, serving as the subject matter expert for budgetary questions.
  • Attends weekly regional calls, gathering and analyzing data to create spreadsheets, reports, and presentations.
  • Coordinates schedules, meetings, and teleconferences, including room setup for regional meetings and broker/client meetings.
  • Plans and organizes all regional events, managing meeting materials and communicating details to key presenters.
  • Makes travel arrangements, organizes calendars, and manages all travel expenses for the MD and AVP.
  • Fields incoming calls from brokers and/or clients, ensuring professional communication.
  • Creates presentations, memos, letters, manuals, agendas, and other correspondence for external constituencies on behalf of the management team.
  • Gathers, compiles, and develops various sales and client management regional operating reports, both routine and ad-hoc.
  • Acts as the SME for system access for users, generating access requests and ensuring data integrity within applications like Salesforce.com.
  • Mentors and supports other administrative staff, providing training on various systems or Microsoft Office programs as needed.
  • Creates and manages the Region SharePoint site, ensuring it is up-to-date and functional.
  • Supports MD and RCM with annual performance review and bonus programs.
  • Completes various data entry duties to support overall sales and marketing activities.
  • Supports special projects or other tasks as assigned, including data analysis and presentation of data for meetings.

Requirements

  • High School diploma required; Associates or Bachelor's degree preferred.
  • A minimum of three to five years of experience in an administrative role, preferably supporting management level.
  • Excellent communication skills, both written and oral, with superior organization skills.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to work with varying levels of management and set priorities effectively.
  • Excellent customer service skills and a strong focus on client satisfaction.
  • Ability to work well in an energized team environment and independently.
  • Highly motivated and proactive, with strong judgment and problem-solving skills.
  • Strong technology aptitude and proficiency in Microsoft Office programs: Outlook, Word, PowerPoint, and Excel.

Nice-to-haves

  • Experience with Salesforce.com or similar CRM systems.
