About the position

The Regional Office Administrator (ROA) at Integris is responsible for coordinating activities and operations for assigned locations while providing essential clerical and administrative support to management, clients, leadership, and vendors. This role is crucial in maintaining organization and supporting the implementation of office and company policies, ensuring a smooth operation of the office sites.

Responsibilities

  • Monitor front desk and greet office visitors at assigned home office site.
  • Open mail, receive payments, and distribute checks and invoices.
  • Provide comprehensive administrative support to various departments and teams within the organization.
  • Oversee the day-to-day operations of regionally assigned offices, including managing office supplies and equipment maintenance.
  • Ensure a clean, organized workspace, and stock break rooms appropriately.
  • Support efforts to drive the Integris culture with the planning of local team events and assisting the People First Committee activities.
  • Cultivate strong relationships with external vendors; liaise with vendors for facility-related services as needed.
  • Assist in the planning and coordination of meetings, conferences, and events, including arranging venues and coordinating catering.
  • Enter data accurately into relevant systems and databases; generate reports and compile data as requested by management.
  • Maintain records in accordance with regulatory requirements and company policies; assist with compliance-related tasks.
  • Ensure company vehicles are clean and maintained.
  • Create or modify documents such as invoices, reports, letters, spreadsheets, and presentations.
  • Provide clerical duties such as copying, scanning, faxing, and mailing.
  • Assist with other administrative duties as needed.

Requirements

  • Associate degree or 2-3 years of office work experience or a combination of education and experience.
  • Proficient with Microsoft Windows and Microsoft Office Suite.
  • Live within daily commutable distance from office.
  • Able to communicate clearly both verbally and in writing.
  • Experience in supporting and planning site or company events.
  • Safe driving record.
  • Ability to travel up to 15%-20%.
