About the position

The Regional Operations Specialist will oversee the operations and profitability of multiple assisted living communities, ensuring high standards of resident care, regulatory compliance, and financial performance. This role involves stepping in as acting Executive Director or General Manager when needed, providing guidance and support to community leaders, and conducting routine visits to assess and improve operations across the portfolio.

Responsibilities

  • Step in as Interim ED/GM during vacancies at any community within the organization's portfolio.
  • Oversee daily operations, ensure continuity of care, maintain regulatory compliance, and provide leadership to staff.
  • Manage resident relations and address family concerns while ensuring the community meets financial and operational goals until a permanent ED/GM is appointed.
  • Conduct routine visits to all communities, focusing on those needing support and guidance.
  • Inspect communities for safety, regulatory, cleanliness, and neatness violations, providing feedback to ED/GM.
  • Assist ED/GM with operating and capital budgets, including monthly variance reports and P&L calls.
  • Review overall operating budget in comparison to monthly financials, adjusting staffing and expenditures as necessary.
  • Provide leadership to ensure ED/GM is proficient in major platforms related to marketing, sales, and resident care.
  • Collaborate with the Regional Sales Director to ensure alignment in marketing and sales efforts.
  • Ensure timely financial/marketing reporting to the Home Office regarding various statistical reports.
  • Oversee ED/GM's management of facility operations, including staff, resident relations, marketing, and wellness.
  • Act as a mentor and liaison, sharing necessary information with ED/GMs.
  • Ensure compliance with company policies and procedures.
  • Guide ED/GM in managing buildings and grounds according to safety and regulatory requirements.
  • Keep ED/GMs informed on governmental regulations affecting facility operations.
  • Conduct audits to ensure compliance with Department of Health regulations.
  • Assist in resolving resident, family, or staff issues.
  • Participate in interviewing and onboarding of community management teams.
  • Support ED/GMs with performance evaluations, disciplinary actions, and terminations.
  • Oversee hiring, orientation, training, and evaluation processes in coordination with ED/GM.
  • Evaluate staffing levels and adherence to labor regulations.
  • Maintain high staff morale and loyalty by attending employee events.
  • Create an open-door policy for ED/GMs and staff for meetings and concerns.
  • Ensure management team fosters professional growth for staff.
  • Review expenses with ED/GMs to control them according to budget for maximum profitability.
  • Ensure ED maintains active relationships with Residents and responds to their concerns.
  • Guarantee a caring and stable atmosphere for Residents, supporting their dignity.
  • Ensure emergency and evacuation procedures are in place and community readiness is maintained.
  • Troubleshoot problem areas and implement solutions for efficiency.
  • Oversee marketing efforts to sustain maximum occupancy levels.
  • Represent the Company positively and maintain professional excellence.
  • Review management agreements, leases, and contracts as necessary.
  • Assist in startup communities by providing support before, during, and after the start-up date.

Requirements

  • Experience in senior living operations or a related field.
  • Strong leadership and strategic thinking skills.
  • Ability to manage multiple communities and travel extensively.
  • Proficiency in using major platforms related to marketing, sales, and resident care such as Salesforce and Point Click Care.
  • Excellent communication and interpersonal skills.
