About the position

The Regional Operations Specialist plays a crucial role in supporting the operations and profitability of multiple senior living communities. This position involves working closely with Executive Directors and General Managers to ensure high standards of resident care, regulatory compliance, and financial performance. The Specialist will also step in as acting ED/GM when necessary, requiring extensive travel to various communities. The role demands strategic thinking, strong leadership skills, and a commitment to excellence in senior living.

Responsibilities

  • Step in as Interim ED/GM during vacancies at any community within the organization's portfolio.
  • Oversee daily operations, ensure continuity of care, maintain regulatory compliance, and provide leadership to staff.
  • Manage resident relations and address family concerns while ensuring the community meets financial and operational goals until a permanent ED/GM is appointed.
  • Conduct routine visits to all communities within the organization's portfolio, focusing on those needing support and guidance.
  • Perform community visits to inspect for safety, regulatory, cleanliness, and neatness violations, providing feedback to the ED/GM.
  • Assist the ED/GM with the preparation of operating and capital budgets, including monthly variance reports and P&L calls.
  • Review the overall operating budget in comparison to monthly financials and adjust staffing and expenditures accordingly.
  • Provide leadership and guidance to ensure the ED/GM is proficient in using major platforms related to marketing, sales, and resident care.
  • Collaborate with the Regional Sales Director to ensure alignment in daily marketing and sales efforts to achieve budgeted census/occupancy.
  • Ensure timely financial/marketing reporting to the Home Office regarding various statistical reports.
  • Oversee the ED/GM's management of the facility's operations, including physical space, staff, resident relations, and community relations.
  • Act as a mentor and coach, providing necessary information to ED/GMs.
  • Ensure compliance with company policies and procedures.
  • Guide the ED/GM's management of buildings and grounds, ensuring safety and regulatory compliance through inspections.
  • Keep ED/GMs informed on governmental statutes and regulations affecting facility operations.
  • Conduct audits of community operations to ensure compliance with Department of Health regulations.
  • Assist in resolving resident, family, or staff issues/concerns.
  • Participate in interviewing and overseeing the onboarding and training of the community's management team.
  • Support ED/GMs with performance evaluations, disciplinary actions, and terminations.
  • Oversee hiring, orientation, training, evaluation, promotion, and termination processes in coordination with ED/GM.
  • Ensure quality and maintenance of staffing levels and adherence to labor regulations.
  • Maintain high staff morale and loyalty by attending employee events.
  • Create an open-door policy for ED/GMs and staff for meetings and concerns.
  • Ensure the management team fosters professional growth for staff personnel.
  • Review expenses with ED/GMs to control them according to the established budget for maximum profitability.
  • Ensure active relationships between ED and Residents through regular interactions and meetings.
  • Maintain an atmosphere of caring and stability for Residents, supporting their dignity.
  • Ensure proper emergency and evacuation procedures are in place and community readiness for emergencies.
  • Troubleshoot problem areas and implement solutions for maximum efficiency.
  • Oversee marketing efforts to sustain maximum occupancy levels.
  • Represent the Company positively, maintaining professional excellence.
  • Review management agreements, leases, and contracts as necessary.
  • Assist in all facets of startup communities by providing key support before, during, and after the startup date.
  • Notify HR of any updates needed to departmental job descriptions.
  • Perform all other duties as assigned by the VP of Operations or the COO.

Requirements

  • Proven experience in operations management within the senior living or healthcare industry.
  • Strong leadership and strategic thinking skills.
  • Excellent communication and interpersonal skills.
  • Ability to travel extensively to various community locations.
  • Experience with budget preparation and financial management.
  • Knowledge of regulatory compliance in senior living operations.
  • Familiarity with marketing and sales strategies in the senior living sector.
