About the position

The Regional Support Specialist (RSS) plays a vital role in providing administrative, operational, and customer service support to Coldwell Banker Real Estate branch offices, leaders, and agents. This position involves collaborating with various departments to ensure smooth office operations, assisting agents with transactions, and promoting a positive office culture. The RSS is essential in helping agents succeed and live exceptional lives by offering support in various capacities, including technology assistance and transaction processing.

Responsibilities

  • Ensure all items in the office remain in working order in collaboration with facilities and IT partners.
  • Ensure needed office supplies are sufficiently stocked and organized, and mail is distributed.
  • Greet and direct agents/customers as needed.
  • Provide white-glove service for agents and clients visiting the offices.
  • Support agents with technology, process, or operationally related questions.
  • Promote a friendly, inclusive office culture that reinforces the agent value proposition.
  • Assist with the agent onboarding process as needed.
  • Ensure agents' transactions are efficiently and accurately processed, with timely commission payments and avoidance of adjustments.
  • Scan physical checks as needed and follow up on missing documentation or escalation of transactional issues.
  • Perform database entry and updates for MLS and Transaction Manager, ensuring compliance and timely commission payments.
  • Support the Branch Manager with maintaining office promotional items, sales meetings, and new agent orientations.

Requirements

  • 1 or more years of customer service experience preferred; prior real estate office experience preferred.
  • Strong written and verbal communication skills.
  • Technologically proficient in various operating systems on PCs and Macs and able to navigate computer software.
  • Proficiency with Microsoft Office.
  • Ability to communicate effectively with different audiences, including agents, branch managers, and operational support teams.
  • Customer-focused, delivery-oriented, and able to multi-task.
  • Willingness to be nimble and adjust priorities as needed.
  • Ability to travel to additional offices in the region on an as-needed basis.
