About the position

The Admitting Registrar at White Plains Hospital is responsible for greeting and processing patients in various departments, ensuring accurate collection of demographic and insurance information while adhering to HIPAA policies. This role requires a professional demeanor to provide reassurance to patients and families during their hospital experience, as well as managing patient placement and charting responsibilities.

Responsibilities

  • Greet and receipt all patients presenting to the appropriate departments.
  • Obtain demographics and insurance information from patients seeking treatment.
  • Adhere to HIPAA policies while ensuring information supports billable accounts.
  • Interact professionally with patients, families, and visitors.
  • Generate patient charts and ID bracelets, and obtain necessary signatures.
  • Integrate the use of Health Information System (HIS) for insurance eligibility and registration errors.
  • Check valuables for inpatient and ambulatory patients and manage the Valuable Policy Release form.
  • Scan insurance cards and legal patient identifications.
  • Provide mandatory documents to each patient, including Notice of Privacy Practices and Patient Bill of Rights.
  • Process patient pre-admission for elective patients either by phone or in person.
  • Inform patients about their responsibilities at the time of pre-registration.
  • Manage morgue reconciliation and obtain signatures for handoff to funeral homes.
  • Enter ordered tests into the Order Communication system for ancillary departments.
  • Ensure patient charts are completed accurately and comprehensively.
  • Notify insurance companies of inpatient admissions and outpatient services.
  • Set up patient charts for the following day and audit for JACHO compliance.
  • Prepare daily lists for inpatient and Ambulatory/Endoscopy from the OR scheduling system.
  • Verify credit card information and manage POS collections.
  • Complete pre-certification processes for insurance carriers on weekends.
  • Escort patients to the Ambulatory Surgery unit.
  • Assist Patient Accounts with accurate and timely billing during downtime.
  • Ensure patient satisfaction as per Press Ganey standards.
  • Perform other related duties as assigned.

Requirements

  • High School Diploma or GED required.
  • Ability to type at least 45 words per minute.
  • Previous hospital experience preferred.
  • Previous registration experience in a medical setting strongly preferred.
  • Knowledgeable in medical health insurances and medical terminology.
  • Familiarity with electronic medical record systems, preferably EPIC.
  • Detail-oriented with problem-solving and multi-tasking abilities.
  • Effective communication skills in English; bilingual is helpful.

Nice-to-haves

  • Bilingual skills are helpful but not required.
