About the position

The Registrar's Associate (RA) position at Excelsior University involves performing various administrative functions to support the Registrar's Office. This role requires proficiency in office procedures, strong organizational skills, attention to detail, and the ability to provide exceptional student service. The RA will be cross-trained in multiple duties within the office and will work in a hybrid environment, with a minimum of two days required at the Albany office.

Responsibilities

  • Provide telephone coverage and excellent services for the unit, responding to or routing routine correspondence, messages, emails, faxes, and voicemails.
  • Receive, prepare, scan, process, index, and manage official/unofficial documents using imaging and workflow systems.
  • Prepare outgoing official transcripts, reviewing student transcript data for accuracy.
  • Process and manage mailings and automated communications.
  • Collaborate with Registrar's Office teammates on various student support tasks while supporting unit KPIs.
  • Research and annotate accreditation onto official transcripts, entering course work data into the student information system database while adhering to deadlines and proofreading for accuracy.
  • Participate in course management and course registration processes.
  • Maintain data quality and uphold federal standards for FERPA compliance.
  • Conduct research to support the evaluation process, gathering course descriptions, syllabi, and grading systems.
  • Run reports and extract relevant data, maintaining competency in university policies and procedures applicable to the Registrar's Office.
  • Participate in training activities and professional development opportunities, including training new hires.
  • Perform other duties as assigned.

Requirements

  • Associate degree from a regionally accredited institution.
  • 2 years of related experience and/or training.
  • Experience working with Student Information Systems or Hyland OnBase is a plus.
  • Strong verbal and written communication skills to provide quality service to a diverse population of students and staff.
  • Excellent time management and organizational skills, with the ability to multi-task.
  • High degree of accuracy and attention to detail.
  • Ability to work independently and as a team member.
  • High level of initiative and problem-solving ability.
  • Ability to interpret a variety of instructions in written, oral, diagram, or schedule form.
  • High level of proficiency in computer applications including Microsoft Word, Excel, and Outlook; willingness to learn new software; typing speed of 50-55 wpm minimum.
  • Ability to work flexible hours as needed.

Nice-to-haves

  • Experience with Hyland OnBase or similar Student Information Systems.
