About the position

The Technical Assistant position at Trinity Health is a full-time role that provides essential customer service, quality assurance, and technical and administrative support to the Registrar's Office. This position serves as the primary contact for inquiries from students, staff, and faculty regarding academic records and registration processes. The Technical Assistant is responsible for supporting various functions, including transcript entry, internal and external reporting, and tracking attendance, grades, and graduation data. The role encompasses a wide range of technical and administrative tasks, ensuring the accuracy and integrity of both historical and current academic data. In this role, the Technical Assistant will process updates in the Student Information System, which includes managing student registrations, address changes, and name changes. The position requires meticulous attention to detail to ensure that system data is accurate and timely. Additionally, the Technical Assistant will track attendance at the beginning of each semester and communicate with faculty as necessary. Managing the Academic Calendar is also a key responsibility, which involves providing reminders and notices to students, faculty, and staff regarding important dates and deadlines. The Technical Assistant will also handle various administrative tasks such as processing substitutions, waivers, and grade changes, entering transfer credits for evaluation, and tracking mid-term and final grade submissions. The role includes creating, tracking, and organizing graduation-related information, including applications, cap and gown orders, participation details, awards, programs, diplomas, and name cards. Furthermore, the Technical Assistant will build and maintain course schedules, update and maintain student records, and transition current and historical student records to electronic documents. The position also involves comparing course catalogs to highlight program changes for Degree Audit updates and preparing degree audits for graduation, letters of verification, transcripts, and diplomas. The Technical Assistant will monitor the registrar's office email inbox and perform miscellaneous duties as assigned.

Responsibilities

  • Serve as the primary contact for student, staff, and faculty registration and record questions.
  • Process Student Information System updates including student registrations, address, and name changes.
  • Ensure the integrity of system data to be accurate and timely.
  • Track attendance at the beginning of each semester and contact faculty as needed.
  • Manage the Academic Calendar, providing reminders and notices to students, faculty, and staff.
  • Process substitutions, waivers, and grade changes.
  • Enter transfer credit to be evaluated.
  • Track mid-term and final grade submissions.
  • Create, track, and organize graduation-related information such as applications, cap and gown orders, participation, awards, programs, diplomas, and name cards.

Requirements

  • Bachelor's Degree in business or related field.
  • Two years' experience working in an office environment.
  • Strong organizational skills, attention to detail, and accuracy.
  • Demonstrated interpersonal, written, and verbal communication skills.
  • Strong customer service commitment and a continuous quality focus.
  • Functional knowledge of Microsoft Office products.
  • Experience in a higher education environment or registrar's office preferred.
  • Knowledge of Datatel/Colleague preferred.
