About the position

The Registrar Operations Coordinator at Fresno Pacific University is responsible for managing daily operations within the Registrar's Office, ensuring excellent customer service, and facilitating communication across the university. This role involves training staff and students on processes, maintaining accurate records, and supporting various registrar functions for both undergraduate and graduate populations.

Responsibilities

  • Serve as a resource to students, faculty, staff, and the general public by providing accurate information related to student records, registration, and university policies and procedures.
  • Provide excellent customer service via telephone, email, and in-person through clear and timely communication.
  • Accurately maintain university databases and systems information.
  • Handle large quantities of time-sensitive and confidential information correctly.
  • Work closely with other registrar staff on special projects and initiatives identified in the university strategic plan.
  • Assist with all Registrar functions for all populations at the regional campus.
  • Attend regional campus events to assist and represent the Registrar's Office.
  • Evaluate and determine eligibility for commencement participation and program completion.
  • Process official transcripts and evaluate transcripts for admissions.
  • Review accreditation status of incoming schools and evaluate official transcripts from other educational institutions.
  • Confirm transfer course equivalencies in alignment with previously accepted articulation agreements and university policy.
  • Verify outside course level, content, unit value, and grading system through collegiate information sources.
  • Process course waiver and substitution requests and post degree conferrals to students' official records.
  • Audit incoming students' records and explain university policies to faculty, students, and staff.
  • Develop and maintain physical and electronic student records and files.
  • Support Senior Registrar Coordinator with projects and answer incoming phone calls.
  • Respond to email inquiries and process various forms such as enrollment verifications and registration updates.
  • Troubleshoot errors or difficulties with computer systems and provide in-person customer service during registration events.
  • Oversee Registration Preparation process for incoming students and manage new student file check-in process.
  • Pick up and drop off mail at the Mail Center and prep the main office for daily duties.
  • Process transcript orders and update information in the student information system as requested.
  • Complete various e-forms and update information pieces in the system as needed.
  • Review and filter reports to gather information for specific dates and details pertaining to student records.
  • Communicate clearly and collaborate productively with colleagues.

Requirements

  • Associate's degree or equivalent experience.
  • Mid-level experience in a registrar or administrative role.
  • Strong customer service skills and ability to communicate effectively with diverse populations.
  • Proficiency in database management and record-keeping systems.
  • Ability to handle confidential information with discretion and accuracy.

Nice-to-haves

  • Experience with student information systems such as Colleague or similar.
  • Familiarity with transfer evaluation processes and articulation agreements.
  • Knowledge of university policies and procedures related to registration and student records.
