In this position, the Registration Specialist will conduct interviews with patients or their representatives to gather necessary registration information, ensuring compliance with departmental procedures. They will also be responsible for obtaining signatures on consent forms, collecting co-pays, and explaining relevant policies to patients. The specialist must enter patient payer information into the appropriate software and verify benefits, providing clear explanations to patients regarding their coverage. The role also involves demographic registration, where the specialist interviews patients to obtain complete and accurate demographic data, verifies patient identification, and updates their status in the system. Financial registration duties include accessing various software systems to verify insurance coverage and determine the correct payer information, as well as collecting payments for services rendered. The specialist must maintain accurate electronic records and respond to requests for medical records in accordance with established guidelines. Customer service is a key component of this role, as the Registration Specialist will schedule appointments, answer patient inquiries, and assist with interpreter services as needed. They will also promote patient engagement through the patient portal and ensure that patient rights and confidentiality are upheld. Additionally, the specialist will support quality improvement initiatives within the department and ensure compliance with all relevant policies and regulations.

Responsibilities

  • Register patients into the organization's information system with exemplary customer service.
  • Prepare patients for activities in the medical office and billing department.
  • Collect registration information via interview with patients or their representatives.

  • Enter patient payer information into appropriate software programs.

  • Verify patient identification and update their status in the system to 'arrived'.
  • Access software systems to verify insurance coverage and determine correct payer information.
  • Collect appropriate payments for services and interpret the MSP questionnaire.
  • Scan and maintain electronic information accurately in the medical record.
  • Schedule appointments for routine and walk-in patients.
  • Answer patient questions and communicate information regarding visit status.
  • Respond to needs for interpreter services in a timely manner.
  • Encourage patient engagement in the patient portal.
  • Support department quality improvement activities and comply with policies and procedures.

Requirements

  • High School Diploma or GED Equivalent required.
  • Associates Degree in a related field preferred.
  • Experience in Medical Office Front Desk / Reception preferred.
