About the position

The Regulatory Board Administrative Assistant 2 is responsible for performing moderately complex administrative tasks for regulatory boards under general supervision. This role involves evaluating applications for compliance with standards, issuing licenses, maintaining records, and coordinating meetings and examinations. The position may also include supervisory responsibilities over staff, distinguishing it from the entry-level role.

Responsibilities

  • Review licensure/application, permits, and certifications for status, completeness, accuracy, and eligibility requirements.
  • Make recommendations to accept or reject applications based on laws, rules, and regulations.
  • Issue licenses, certificates, registration, or other statements of authority to practice in an occupation or profession.
  • Match payments made to the cashier's office with appropriate licensee's records.
  • Enter and/or revise data from multiple sources into the database.
  • Maintain and process license payment records and accounts for fees, including refunds and returned checks.
  • Handle complaints and explain policies, procedures, and laws to applicants and the public.
  • Coordinate meetings for pertinent boards or commissions and schedule requisite competency examinations.
  • Relate findings to appropriate personnel regarding the status of cases and discuss critical deviations from standard policies with supervisors.
  • Conduct performance evaluations for staff and supervise administrative staff.

Requirements

  • Education equivalent to graduation from a standard high school.
  • Experience equivalent to four years of full-time work in management, administrative support, or clerical experience.
  • Experience equivalent to one year as a Regulatory Board Admin Asst 1 with the State of Tennessee.
