About the position

The Regulatory Specialist II (Legal Assistant) position within the Department of Health's Prosecution Services Unit (PSU) is responsible for providing administrative legal support to attorneys involved in the regulation of healthcare practitioners. The role requires independent judgment, time management, and initiative in preparing legal materials, maintaining case files, and ensuring compliance with legal procedures. The incumbent will handle various administrative tasks, including communication with stakeholders, scheduling, and document preparation, while ensuring that all work is completed accurately and timely under the supervision of assigned attorneys.

Responsibilities

  • Provide administrative legal support to two or more attorneys.
  • Prepare materials for healthcare disciplinary cases for presentation before probable cause panels and formal litigation.
  • Maintain electronic case files and ensure they are complete and up-to-date.
  • Update the computer case management system and electronic case file repository as actions occur in assigned cases.
  • Perform monthly inventory reviews of all cases and provide current caseload reports to assigned attorneys.
  • Communicate with respondents, their counsel, witnesses, and the general public, drafting routine correspondence as needed.
  • Receive, calendar, and process notices of proceedings before the Division of Administrative Hearings (DOAH).
  • Schedule court reporters, witnesses, and locations for depositions and formal hearings.
  • Prepare notices, motions, subpoenas, and pleadings for attorney review and signature; file documents at DOAH.
  • Arrange travel and prepare travel authorizations and reimbursements for assigned attorneys.

Requirements

  • High school diploma or equivalent AND 2 years of legal or administrative experience.
  • Proficiency in Microsoft Office and Adobe.
  • Experience in data entry, travel preparation, and document preparation.

  • Ability to prioritize and organize work effectively.
  • Experience in filing, typing, proofreading, and editing documents.
  • Skills in processing and tracking legal documents.
