About the position

The Relief Crew Officer/HR Coordinator at The World, Residences at Sea is a unique role responsible for managing crew administration and human resources tasks during a 4-month contract. This position involves overseeing payroll, crew documentation, and organizing crew activities, ensuring smooth operations in the Crew Office while relieving the primary officers during their vacation. The role requires a blend of administrative skills and creativity to enhance crew welfare and engagement.

Responsibilities

  • Administer the onboard payroll system and all aspects of the Human Resource Information System (HRIS).
  • Supervise the crew embarking and debarking process, including flights, transfers, accommodation, and lost luggage.
  • Inform eligible officers of their medical and retirement benefits and submit applications for next ashore directly to MHG.
  • Communicate relevant information to embarking crew, including Code of Conduct, Collective Bargaining Agreement (CBA), Health Insurance, and Retirement Plan.
  • Arrange transfers to airports and book hotels for sign-off crew as needed.
  • Ensure all documents are ready for inspection by local Immigration Officials for crew clearance.
  • Assist the HR Manager, Crew Officer, Training Manager, and Manager, Learning and Development with administrative tasks.
  • Organize and promote crew tours, events, parties, educational tours, sporting events, and competitions.
  • Maintain an updated vacation schedule in HRIS for all departments.
  • Collect and file pertinent crew member documentation, including Policy Acknowledgements forms.
  • Organize and maintain personnel records for crew passports and Seaman's books.
  • Prepare vouchers for expenses for the Crew Enrichment Fund Float.
  • Coordinate the organization of crew parties and events, including food and beverage orders and venue decorations.

Requirements

  • Minimum of 3 years' relevant experience on a luxury cruise ship, private country club, or similar luxury hotel or resort.
  • Diploma in Human Resources Management, Finance, or related field preferred.
  • Previous experience as Crew Officer, Crew Purser, Crew Welfare Assistant, and/or HR Admin/Coordinator required.
  • Financial/accounting background required.
  • Previous experience in administering payroll required.
  • Excellent computer skills including MS Office, Outlook, and HRIS (Fidelio, Adonis, etc.).
  • Excellent planning, organizational, and administrative skills required.
  • Great attention to detail and high degree of accuracy required.
  • High level of creativity and ability to host crew events required.
  • Experience working in a multi-cultural environment required.
  • Fluency in English and one additional language (German, French, Italian, Spanish) preferred.
