About the position

Alliance Animal Health is seeking a Remote Payroll Operations Manager to lead the payroll function for a rapidly growing veterinary services organization. This role is critical in managing payroll for over 3,500 employees across more than 200 veterinary practices and 100+ FEINs using ADP Workforce Now. The Payroll Operations Manager will ensure accurate and timely payroll processing while maintaining internal controls such as segregation of duties and teammate cross-training. The position involves managing and developing a team of 5-6 Payroll Specialists and HR Operations/Data Analysts, fostering a culture of accuracy and continuous improvement. The Payroll Operations Manager will conduct regular audits of payroll procedures to ensure compliance and accuracy, prepare quarterly ADP files for federal and state tax liabilities, and handle year-end reconciliation of 941 tax returns and Form W-2 totals. Collaboration with the Operations and Finance departments is essential to ensure the seamless processing of payroll data and addressing accounting queries. The role also requires resolving routine issues related to inefficient processes and partnering with HR, Accounting, and other cross-functional teams to integrate payroll processes effectively. Staying updated with U.S. payroll regulations and compliance requirements is crucial, as is developing strong relationships with external payroll and tax vendors. The Payroll Operations Manager will lead the analysis and implementation of new payroll systems and processes to enhance efficiency and streamline operations. This position demands a detail-oriented professional with strong leadership skills, a comprehensive understanding of U.S. payroll and tax regulations, and the ability to manage multiple priorities effectively.

Responsibilities

  • Lead the Payroll function for a complex veterinary services organization with over 3,500 employees across 200+ practices.
  • Manage and develop a team of 5-6 Payroll Specialists and HR Operations/Data Analysts.
  • Conduct regular audits of payroll procedures to ensure accuracy and compliance.
  • Prepare quarterly ADP files for federal and state tax liabilities and year-end reconciliation of 941 tax returns and Form W-2 totals.
  • Collaborate with Operations and Finance departments for accurate payroll data processing and accounting queries.
  • Resolve routine issues related to inefficient processes in a solutions-oriented manner.
  • Partner with HR, Accounting, and other cross-functional teams to ensure seamless integration of payroll processes.
  • Resolve complex payroll issues and discrepancies within 48 business hours.
  • Prepare payroll-related reports and analysis for management.
  • Stay updated with U.S. payroll regulations and compliance requirements.
  • Develop and maintain relationships with external payroll and tax vendors.
  • Lead the analysis and implementation of new payroll systems and processes.

Requirements

  • 5+ years of progressive experience in payroll operations management.
  • Strong leadership and managerial skills with the ability to lead a team across different locations.
  • Extensive knowledge of U.S. employment law and payroll systems.
  • Comprehensive understanding of U.S. payroll and payroll tax regulations.
  • Excellent communication and interpersonal skills for effective collaboration.
  • Exceptional attention to detail, analytical thinking, and problem-solving skills.
  • Strong organizational and time management skills to manage multiple priorities.
  • Knowledge of multi-state payroll rules and regulations.
  • Experience with ADP Workforce Now is preferred but not required.
  • Bachelor's degree in Finance, Accounting, Human Resources, or a related field.
