About the position

The Rental Coordinator at Wagner Equipment Co. plays a crucial role in assisting customers with rental transactions, ensuring they select the appropriate machinery for their needs. This position involves processing rental agreements, maintaining accurate records, and providing excellent customer service while reflecting the company's commitment to teamwork and professionalism.

Responsibilities

  • Assist customers in determining the best machine suited for their job.
  • Coordinate daily rental transactions in line with company standards.
  • Invoice Caterpillar and non-CAT rentals, damage charges, and demos.
  • Process AG, Caterpillar, and non-CAT rentals and invoices accurately and efficiently.
  • Maintain records on all rental equipment transferred or sold out of the Rental Fleet.
  • Apply applicable taxes to invoices correctly.
  • Review shipping and receiving documents for accuracy and completeness.
  • Assist the Rental Fleet Sales Administrator with rental, credit, and sales document processing.
  • Input lost-sales rental data into the computer system.
  • Use DBS to manage reservations, write rental contracts, and process exchanges.
  • Handle overdue rental contracts and ensure all contracts are current and signed.
  • Coordinate shipping and receiving of machines with yard personnel.
  • Provide information to walk-in customers about equipment availability and options.
  • Quote rates and assist customers in making decisions on equipment rentals.
  • Assist customers with financial, service, and rental issues related to invoicing or account information.

Requirements

  • High School Diploma or GED required.
  • 1 year of experience in a customer service role, preferably in a heavy equipment environment.
  • 1-3 years of administrative/clerical experience.
  • Proficiency in Microsoft Word and Excel.
  • Strong communication and organizational skills.
  • Basic math skills and data entry proficiency.

Nice-to-haves

  • College degree preferred, especially in business or office administration.
  • Courses in computers, business, and office administration are a plus.
