About the position

The Replenishment Assistant position at US Foods, Inc. is a hybrid role based in Buda, TX, combining both onsite and virtual work. This position is essential for ensuring that replenishment functions are executed efficiently and effectively. The Replenishment Assistant will work closely with Area Buyers and Replenishment Leads to monitor key performance indicators (KPIs) and manage daily replenishment duties. This includes overseeing the Credit Debit Memo Request process and drop ship billings, as well as communicating stock statuses and shortfalls to the sales team on a daily basis. The role requires proactive follow-up on urgent needs with Buyers and Logistics, ensuring that all drop ship orders are processed and billed correctly. In addition to daily replenishment tasks, the Replenishment Assistant will identify slow-moving and dead products, executing strategies to move these products out of the warehouse. This may involve shipping or billing to vendors, transferring products to other US Foods Markets, or collaborating with sales to sell products to customers. The Assistant will also facilitate inbound inter-company inventory transfers and approve customer credits for spoilage and out-of-date products, researching potential vendor billing for these credits. The role also includes supporting the Area buying team with routine tasks, contributing to report reviews, and serving as the first point of contact for area service issues. The Replenishment Assistant will participate in a team of 1-3 Replenishment Operations personnel, driving continuous improvement within the team by sharing challenges and operational learnings, ensuring clear communication channels, and contributing to a strong culture of customer service and collaboration.

Responsibilities

  • Work with Area Buyers and Replenishment Leads to ensure key Replenishment functions are being fulfilled.
  • Manage the Credit Debit Memo Request process and drop ship billings.
  • Communicate stock status and shortfalls to the sales team daily and follow up on urgent needs with Buyers and Logistics.
  • Process all drop ships and execute the billing of all Vendor to Customer drop ship orders.
  • Identify slow and dead products and execute strategies to move products out of the warehouse.
  • Facilitate additional inbound inter-company inventory transfers from other Markets.
  • Approve customer credits for spoilage and out-of-date products.
  • Research if credits for spoilage and damage products can be billed back to the vendor.
  • Accumulate vendor billings from Marketing, Category Management, and Replenishment and enter into CASIS billing system.
  • Assist Replenishment with the Alert Date process on short shelf-life products and communicate demand changes to the Replenishment Service Center.
  • Support the Area buying team with routine buying support tasks.
  • Contribute to the reviews of certain reports and raise issues to buyers/leadership as necessary.
  • Follow up on late POs and perform routine track & tracing for POs.
  • Serve as the first point of contact for area service issues and escalate as necessary.
  • Respond to DCTs and SODS from cross-functional groups.
  • Participate in a team of 1-3 Replenishment Operations personnel and help drive continuous improvement.

Requirements

  • 1 year of replenishment work experience.
  • Ability to communicate effectively verbally and in writing with various cross-functional team members.
  • Proficiency in Microsoft Office Suite, including Microsoft Outlook, Microsoft Excel, Microsoft PowerPoint, and Microsoft Word.
  • Excellent time management skills.

Nice-to-haves

  • Some college experience is preferred.
