Responsibilities

  • Work closely with Sr. Manager of Research Finance to develop, monitor and track simple or basic budgets.
  • Modify and maintain multiple record keeping and reporting systems for varied and complex sources of funding.
  • Assist program staff with procurement processes, maintain purchasing records and resolve issues that may arise.
  • Assist in reviewing and processing all invoices, purchase requests and travel reimbursements for program grants and contracts.
  • Assist with monitoring effort reports, maintain program budget files and perform related data entry.
  • Be responsible for monthly reconciliation of expenditures incurred on program budgets.
  • Assist investigators, Sr. Manager of Research Finance and staff in resolving budget related issues.
  • Conduct the clerical aspects of pre and post award activities as directed.
  • Coordinate the adherence to submission timelines to ensure that deadlines are not missed.
  • Assist in developing and preparing budgets for new, continuing and renewal grants and contracts.
  • Develop, modify, and maintain multiple record keeping and reporting systems for varied and complex sources of funding.
  • Develop, recommend, and/or establish expenditure forecasting for self-sustaining accounts.
  • Prepare budget projections, reconcile expenditures, and monitor the payroll changes.
  • Analyze, modify and recommend improvements in subsidiary and general fiscal record keeping systems.
  • Select, develop, implement and/or modify manual or automated fiscal reporting/tracking processes.
  • Work closely with Principal Investigator to develop budgets for grants, contracts, or other funding requests.
  • Coordinate and review all applications submitted for grant and contract funding.
  • Secure the necessary signatures for grant and contract applications.
  • Consult with funding agencies to resolve problems and/or obtain approval for deviation from authorized procedures.
  • Manage renewal timelines and ensure completion of regulatory documents in conjunction with IRB team.
  • Identify necessary regulatory components of submissions.
  • Complete or delegate key administrative tasks such as travel coordination, editing CVs and publications.
  • Manage budget based on protocol for clinical trials.
  • Ensure regulatory documents are in place for clinical trials.
  • Responsible for Clinical Trials Billing including the creation of payment invoices.

Requirements

  • High School Diploma (or equivalent).
  • Some relevant administrative experience.
  • Bachelor's degree in Accounting, Public Administration, or related field preferred.
  • Two years experience in a research and/or non-profit organization preferred.
  • Basic knowledge or experience with the process of funding mechanisms.
  • Knowledge of grant submission forms and their uses.
  • Two years of relevant experience for Research Administrator II.
  • At least 2 years of work experience building, overseeing, and managing budgets.
  • Previous work experience in grants and contracts field is preferred.
  • Excellent written and verbal communication skills.
  • Strong computer skills-MS Word, Access, Adobe Acrobat and advanced knowledge of Excel required.
  • Demonstrated ability to multi-task in a fast-paced fiscal management environment.
  • Ability to problem-solve and process information quickly with a high attention to detail.
