About the position

The Library Assistant position is a contract role based in Detroit, MI, requiring a hybrid work schedule. The role involves a variety of tasks ranging from clerical duties to complex problem-solving, under the supervision of the Director of Library Services and Law Librarians. The Library Assistant will interact with attorneys and other staff, providing essential support in legal research and library management.

Responsibilities

  • Work independently and prioritize assignments effectively.
  • Monitor workload and oversee distribution of work to meet deadlines.
  • Process incoming requests via email and phone.
  • Answer research questions and locate books and cases for attorneys.
  • Copy, scan, and deliver requested materials.
  • Refer research requests to librarians when appropriate.
  • Process bills for all offices and sort them according to due dates.
  • Search Sydney Plus Database for payment information and history.
  • Enter invoices into the Sydney Plus database and record vendor information.
  • Contact vendors for additional information as needed.
  • Reconcile Library Department credit card statements.
  • Process invoices for online database research and prepare them for payment.
  • Download billing data and check against non-billable charge data.
  • Contact secretaries and attorneys for non-billable client matter numbers.
  • Process cancellations and returns of materials.
  • Complete cancellation and return forms and notify vendors.
  • Process orders for books and subscriptions for all offices.
  • Monitor incoming mail and process items according to instructions.
  • Create PDFs of circulation materials and route them to attorneys.
  • Shelve books, newsletters, newspapers, and periodicals, and organize the newspaper area.

Requirements

  • Good communication skills.
  • Proficiency in Microsoft Word and Excel.
  • Problem-solving skills.
  • Minimum of 2 years of research experience required.
  • Prior library and/or legal environment experience preferred.
  • Commitment to customer service.

Nice-to-haves

  • Experience with Westlaw or similar legal research tools.

Benefits

  • Contract position with hourly pay of $25 - $28.
  • Hybrid work environment (3-5 days onsite).
