About the position

The Research Data Analyst position at UCLA is a full-time role under the direction of the ORDM Manager. The primary responsibilities of this position include coordinating essential documents and critical data elements for processing OCGA, TDG, and CTC&SR proposals and awards in the Proposal and Award Tracking System (PATS). The analyst will assist the Manager with special data clean-up projects and workload balancing among the ORDM staff as needed. Additionally, the role involves assisting Principal Investigators, department administrators, and internal ORA staff in analyzing data to resolve issues and questions. The analyst will lead efforts to ensure consistent, complete, and accurate data entry into the campus financial system and the institutional PATS database. Furthermore, the position requires setting up new Principal Investigator profiles and documenting new Sponsors in PATS. In collaboration with the ORDM Manager, the analyst will provide feedback on business processes to streamline and continuously improve workflow between ORDM and the units it serves, including OCGA, TDG, CTC&SR, and EFM. This is aimed at minimizing delays in completing PATS transactions and optimizing efficiency. The analyst will also serve as a point of contact for staff regarding the interpretation of contract and grant-related policies and procedures, resolving any internal business process questions that may impact the accuracy of records in PATS, PAMS, OASIS, and FS. The Administrative Analyst will report directly to the ORDM Manager and is expected to work independently with minimal supervision, escalating any workflow barriers shared by ORDM staff to the Manager for discussion and resolution. Responsibilities

Requirements

  • Working knowledge of federal cost principles contained in Uniform Guidance, OMB Circulars A-21, A-133 and A-110, major federal funding agencies, contracting terminology.
  • Demonstrated ability to focus on detailed information while entering data from multiple source documents.
  • Current working knowledge of external regulations and laws, university policies and funding agency policies which apply to grant preparation, submission and award processing.
  • Proven ability to think critically and creatively and to continually assess the effectiveness of procedures and operations.
  • Proven ability to build and maintain positive working relationships with campus community and funding agency staff.
  • Proven ability to research, analyze, categorize, and gather necessary information from multiple sources to resolve questions and inform decision-making.
  • Solid knowledge of database applications and familiarity with database management and usage.
  • Demonstrated skill in high quality customer service to a diverse group of colleagues.
  • Experienced analytical skills to draw accurate conclusions from a variety of source documents and systems.
  • Proven ability to focus on productivity and accuracy despite pressing deadlines and competing priorities.
  • Skill to prioritize assignments appropriately based on analysis of time sensitivity and potential impact on others.
  • Interpersonal skills to effectively deal with all levels of departmental administrative, technical, and professional staff.
