About the position

The Research Grant Analyst at Hackensack Meridian Health plays a crucial role in managing the organization's grants program, focusing on both pre- and post-award funds management. This position is essential for ensuring that all aspects of grant management are handled efficiently and effectively. The analyst will be responsible for preparing and reviewing budgets, conducting general ledger grant and expense analysis, and submitting monthly, quarterly, and annual grant expense reports. Additionally, the analyst will assist the finance department during year-end audits and Uniform Guidance audits, ensuring compliance with all necessary requirements. In this role, the analyst will establish standards and deadlines for grant proposals and applications, reviewing them for completeness and compliance with grant terms. They will also review and approve awards, developing processes for delivering funding to successful applicants. The analyst will manage the financial responsibilities related to Research Grant Administration, which includes preparing financial grant reports and invoices for both public and private grant programs, as well as clinical trials when applicable. Ensuring that funds are paid to recipients within allowable amounts and maintaining accurate records of fund sources, balances, and disbursements are also key responsibilities. The analyst will work closely with recipients to assist them with proposals, applications, and program budgeting and reporting. They will analyze each clinical trial fund and each Federal/State/Private Foundation grant, preparing financial reports for Principal Investigators and ensuring that monthly Time & Effort sheets are submitted and reconciled. Furthermore, the analyst will maintain a database of all capital purchases funded with Federal/State grant monies, communicating this information to the Accounting Team to ensure proper inclusion in the PeopleSoft Asset Management System. This position requires collaboration with Research Administration and Principal Investigators to ensure departmental budgets are completed accurately each year, and the analyst will prepare monthly financial statements for review by management and distribution to Network Leadership.

Responsibilities

  • Establish standards and deadlines for grant proposals or applications, and review proposals or applications for completeness and compliance with grant terms.
  • Review and approve awards and develop processes for delivering funding to successful applicants.
  • Pay funds to recipients, ensuring that expenditures are within allowable amounts.
  • Maintain records related to fund sources, balances, and disbursements.
  • Assist recipients or applicants with proposals, applications, or program budgeting and reporting.
  • Handle all financial responsibilities relating to Research Grant Administration (pre and post-award).
  • Prepare financial grant reports and invoices for public and private grant programs and clinical trials, if applicable, for internal review and submission to public and private agencies as required.
  • Ensure that appropriate receipt of funds specific to each grant/clinical trial are collected and open receivables are managed properly.
  • Record, on a monthly basis, all research and grant revenue and expenditures.
  • Analyze each clinical trial fund and each Federal/State/Private Foundation grant to supporting documentation.
  • Prepare other financial reports as required, including financial reports to Principal Investigators.
  • Ensure that monthly Time & Effort sheets are submitted from Program Managers through PeopleSoft Time and Labor and reconciles to actual grant reporting.
  • Maintain a database of all capital purchases funded with Federal/State grant monies and communicate this information to the Accounting Team to ensure items are included in the PeopleSoft Asset Management System.
  • Work with Research Administration, Principal Investigators, and others to ensure that departmental budgets are completed properly each year.
  • Prepare Research Division Financial Statements for review by Manager and distribution to Network Leadership monthly.
  • Review and provide status updates of specific grants and/or clinical trials with Research Administration, Principal Investigators and others as necessary.
  • Perform other duties and/or projects as assigned.

Requirements

  • Bachelor's degree in Finance/Accounting or a related area and 3 years of experience in grants & contracts or in a related area; or equivalent 5 years of experience in grants & contracts or in a related area and High School diploma, general equivalency diploma (GED), GED equivalent programs, and/or other Vocational degrees/certificates.
  • Strong analytical and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Proficient computer skills that include but are not limited to Microsoft Office and/or Google Suite platforms.
