About the position

The Reservations Group Coordinator is responsible for managing reservations, room blocks, and contracts for large groups. This role involves preparing for group arrivals, maintaining accurate records, and ensuring smooth communication between departments to meet group needs. The coordinator will also assist with on-site meetings and respond to guest inquiries, ensuring a high level of service and organization.

Responsibilities

• Prepare for each group's arrival, including group history, billing information, deposits, and correspondence.
• Process all group reservation requests, changes, and cancellations received through various channels.
• Maintain an accurate filing system for groups and ensure proper tracking of each group block.
• Create and update group block notes to provide relevant data for all group reservations.
• Provide and maintain reports and records of all groups during their stay and after departure.
• Stay informed about current rates, promotions, and services offered by the hotel.
• Attend pre-meeting planning meetings or conferences as needed.
• Respond to guest concerns or complaints and communicate outstanding requests to management.
• Promote teamwork and quality service through daily communications with other departments.
• Perform additional duties such as running daily reports on cancellations, bookings, or arrivals.

Requirements

• Strong organizational skills and attention to detail.
• Excellent communication skills, both verbal and written.
• Ability to manage multiple tasks and prioritize effectively.
• Proficiency in property management systems and Microsoft Office Suite.
• Experience in hospitality or customer service is preferred.
