About the position

The Residency Program Coordinator plays a crucial role in the administration, coordination, and supervision of the Graduate Medical Education (GME) Neurosurgery Residency Program at Augusta University. This position is responsible for ensuring that the residency program operates smoothly and adheres to the Accreditation Council for Graduate Medical Education (ACGME) requirements. The coordinator will develop and maintain timelines for various program activities, coordinate educational initiatives, and provide guidance on program policies to residents and fellows. Additionally, the coordinator will manage schedules, evaluations, accreditation activities, and duty hour reports, ensuring compliance with residency management systems. In supporting the Program Director, the coordinator will facilitate meetings, assist in program reviews, and track survey results. They will also monitor and maintain ACGME accreditation requirements and manage residency management software for scheduling and evaluations. The coordinator will assist in drafting and monitoring Summative Letters and ensure that all necessary documentation is maintained. Recruitment activities are another key responsibility, where the coordinator will manage the ERAS and NRMP processes, prepare for ranking meetings, and handle ranking list submissions. The coordinator will also oversee the onboarding process for new residents, including orientation schedules and equipment procurement, and will train new residents, fellows, and faculty on duty hour reporting and software usage. As part of the graduation process, the coordinator will coordinate graduation events, ensure completion of exit surveys and certificates, and verify board eligibility and certification. They will also complete annual GME requirements, including GME FTE surveys and residency training permit applications, and maintain resident files. The coordinator will be expected to perform all other job-related duties as assigned, contributing to a supportive and efficient educational environment for residents and fellows.

Responsibilities

  • Develop and maintain timelines for program activities.
  • Coordinate educational activities and adherence to ACGME requirements.
  • Provide guidance on program and GME policies to residents/fellows.
  • Manage schedules, evaluations, accreditation activities, and duty hour reports.
  • Assist in recruitment, selection processes, and quality improvement activities.
  • Support Program Director with ERAS processing and NRMP compliance.
  • Ensure duty hour compliance using residency management systems.
  • Facilitate meetings and assist in program reviews for the Program Director.
  • Track survey results, maintain agreements, and update policies.
  • Monitor and maintain ACGME accreditation requirements.
  • Manage residency management software for scheduling, evaluations, and compliance.
  • Assist in drafting and monitoring of Summative Letters and meetings.
  • Manage recruitment activities, including ERAS and NRMP processes.
  • Prepare for ranking meetings and handle ranking list submissions.
  • Coordinate new resident onboarding, including orientation schedules and equipment procurement.
  • Train new residents/fellows/faculty on duty hour reporting and software usage.
  • Coordinate graduation events and ensure completion of exit surveys and certificates.
  • Verify board eligibility/certification and complete training verification processes.
  • Complete GME FTE survey, housestaff contracts, and residency training permit applications.
  • Submit necessary forms to the GME office and maintain resident files.
  • Coordinate in-training exams and monitor educational fund distribution.
  • Perform all other job-related duties as assigned.

Requirements

  • Bachelor's degree from an accredited college or university and one year educational program or similar experience.
  • OR Associate's degree from an accredited college or university and four years professional or administrative experience to include a minimum of two years educational program experience or similar experience.
  • OR High School Diploma, GED, or equivalent from a recognized State or Federal accrediting organization and seven years of progressively responsible experience in administrative support positions to include a minimum of four years of educational program experience or similar experience.
  • Ability to maintain confidentiality.
  • Excellent interpersonal, written, and verbal communication skills.
  • Proficient in Microsoft Office and other computer software/databases.
  • Detail-oriented with strong organizational, prioritization and multi-tasking skills.
