About the position

The Resiliency Center Administrative Assistant at Metropolitan Ministries plays a crucial role in providing comprehensive administrative support to ensure the efficient operation of the Resiliency Center. This position involves managing referrals, assisting with billing, and maintaining vital data related to grants and clinic activities, while also delivering exceptional customer service to guests and visitors.

Responsibilities

  • Manage front desk operations and oversee interns.
  • Coordinate and schedule intakes for referrals for Counseling and Resiliency Center.
  • Assist in determining eligibility of referrals and direct to appropriate resources.
  • Manage appointment calendar for Counseling and Resiliency Center.
  • Assist in assignment of office space for internal and external programs.
  • Input and maintain accurate client records in electronic health records (TheraNest and Clarity) and ensure confidentiality compliance.
  • Answer phone calls, respond to inquiries via email, and direct calls and e-mails to appropriate staff members.
  • Provide clients with information about services and other Metropolitan Ministries related programs.
  • Assist in the intake process, collecting necessary documentation and information for new clients.
  • Close out referrals in Theranest and on the Master Referral Log.
  • Complete disposition section on Master Referral Log to indicate outcome of referral.
  • Collect verification of income information for sliding scale fee clients and enter this data into electronic health records.
  • Collect payment from clients on sliding scale fee and submit billing reports to accounting.
  • Assist in collecting monthly KPI and grant outcomes and share with Administrative Management.
  • Provide support to Intern development Program and assist with activities/events.
  • Order office supplies and manage inventory for program departments.
  • Complete administrative requests for the Program Directors in various departments.
  • Support the team in other tasks assigned and attend all team meetings.
  • Provide occasional support to other departments when appropriate.
  • Support the holiday tent operations as directed.
  • Perform general clerical duties as assigned.

Requirements

  • High school diploma or equivalent.
  • Two years of experience in a clerical or medical office setting (preferred).
  • Bilingual (Spanish) preferred.
  • Strong interpersonal skills and ability to work with low socio-economic and diverse populations.
  • Knowledge of community resources available to homeless populations (preferred).
  • Good organizational skills and time management skills.
  • Demonstrated computer literacy including use of Microsoft and Excel.
  • Ability to multitask effectively.

Nice-to-haves

  • Experience in a nonprofit environment.
  • Knowledge of electronic health records systems.
